Job Description:
The Facility Administrative Assistant will perform all administrative assistant duties, acting as primary contact for visitors and service providers to Nestle Health Science's Manufacturing Facility loctaed in Savannah, Georgia. This role will provides administrative support to the Factory Manager and other members of the Factory Leadership team as needed. This role will also act as travel liaison for employees when needed. This position works onsite Monday to Friday (8:00 or 8:30 am to 5:00 pm EST).
Responsibilities:
Organization and Support to Managers
•Provide administrative support to the Factory Manager and other members of the Factoru Leadership team as required.
•Receive calls, take messages, and route correspondence. Sort and distribute all incoming mail.
•Make travel arrangements and manage travel itinerary. Business Travel Account card holder for p-card.
•Assist with expense reports as well as aid with those who have traveled and need assistance.
•Handle special events such as safety days, retirements, farewell, employee meals, milestones, Christmas gifts and assist with special gifts that employees may receive.
•Provide employees seeking help with assistance on whom they should speak with and set up time for them to get the assistance they are searching for.
•Order all restock office supplies and lunchroom supplies on a weekly basis.
•First line of contact by security, phones on roll over when they are unavailable.
Support Visitors to Manufacturing Site
•In conjunction with the on-site Security & Safety, act as the primary contact for service providers and visitors who come into the Savannah facility.
•Order and assist in the setup of meals, setting up meetings, managing multiple calendars and coordination of all onsite and off-site events.
•Assist with setting up for tours and maintain all tour supplies as well as assisting with presentations.
•Provide guests with WIFI access and enter visitors into the visitor itinerary.
•Handle all donation requests.
Factory Communications and Calendars
•Owner of the factory communications through calendars, updating team of upcoming events and tracking of PTO for the Leadership team.
•Assist in a monthly newsletter.
•Prepare weekly recognition updates for factory. Maintain birthday, recognition & special event communication.
•Update emergency phone listing and email distribution lists for leadership teams.
•Manage conference room schedules, bulletin boards, monitors and plantwide communications.
Support the Safety, Health and Environmental (SHE) Department
•Make files for all WC and maintain all reports.
•Manage the Safety Glasses and Safety Shoes programs.
•Support Annual SHE Compliance activities including scheduling and performing all audiogram testing yearly and for all new hires.
•Assist with documentation filings.
•SHE Department Scheduling including Conference Rooms and Communication.
•Ordering SHE Department Supplies.
•Work with employees for SHE requests (custom ear plugs, insoles for shoes, glasses issues, ergo concerns).
•Assist with all safety events.
•Provide any additional support requested of the SHE Department as needed.
Support of Purchasing and Finance Departments
•Enter reports for Finance for several departments.
•Manage three AMEX p-cards including ensuring appropriate use of the cards, monthly reconciliations and reclasses as necessary.
•Ordering/management of supplies for office and cafeteria.
•Main point of contact for Ave. C and the Nespresso coffee machines.
•Reconcile monthly uniform invoices.
Support of Human Resources Department
•Order all new items needed for new hires desk set up.
•New Hires: manage uniforms (ordering for new hires, terminations, sizing changes), and assign locker and invoicing.
•Manage and update new hire and term tracking.
•Do monthly service milestone recognition.
•Provide other assistance as needed.
•Manage plantwide meals.
Support the Quality Department
•Follow factory food safety, quality objectives and targets.
•Follow Nestle Good Manufacturing Practices; report food safety and quality issues immediately.
•Maintain compliance with regulations and refer to Nestle Quality Management System on all related procedures and programs.
Support of the Maintenance and Engineering Departments
•Assist with the safety training of vendors.
•Follow Nestle Good Manufacturing Practices; report food safety and quality issues immediately.
•Maintain compliance with regulations and refer to Nestle Quality Management System on all related procedures and programs.
•Files correspondence for projects, coordinates several calendars, works to communicate, develop and coordinate engineering project schedules, takes meeting minutes, assists Engineering with compiling estimates for projects and other duties as assigned.
•Develop tracking systems, report systems, create and maintain files for capital projects.
•Purchases requisitions for capital projects, showing commitment control in SAP.
•Works closely with finance department to track and resolve issues with invoicing, assuring accurate and current payments to vendors/contractors.
•Monitors unplanned process control intervention, SOP compliance and training activities for the Engineering Department through check and balance system to identify, project load balance, and completion of projects.
•Follow up through use of checklists and other monitoring systems as developed in the engineering department.
•Prepare and facilitate annual contractor training.
•Work with Engineering, Maintenance and Contractors to ensure all trained and enter training records in contractor training data base.
•Manages ISNetworld - Third Party Contractor management firm.
•Works with project managers to audit Nestle purchasing standards and contracts for project managers to ensure Nestle standards are being followed, utilizing the Nestle Project Management book as a guide and reference.
•Tracks and updates KPI (key performance indicators) charts for the Engineering and Maintenance departments.
•Performs additional duties and tasks as assigned by the Factory Manager or Leadership team.
Requirements:
•High School Diploma or GED required; Associate's degree preferred.
•3 years of experience working as an Administrative Assistant or in an Office environment working with the public required.
•Demonstrated fluency in MS Office (Word/Excel/Outlook/PowerPoint) required.
•Must have excellent communication (oral and written), presentation, follow-up and stakeholder management skills (including the ability to develop and maintain strong, cross-functional working relationships).
•Must be Customer Service oriented, able to multi-task and prioritize work or projects based on the needs of the business.
•Willing and able to work under pressure to meet tight deadlines with minimal supervision.
•Must be detail-oriented, have excellent active listening skills and must be creative in addressing challenges with proactive solutions.
•Must possess reliable transportation to and from work.
•Willing and able to travel up to 5% based on the needs of the team and the business.
