Our Agency

The Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD) is the state agency that focuses solely on policies, programs, and services for people with mental health challenges, substance use disorders, intellectual and developmental disabilities, or any combination of these. As Georgia’s public safety net, DBHDD operates six field offices and five hospitals throughout the state within three program areas: behavioral health, developmental disabilities, and hospital services.

Georgia Regional Hospital at Savannah (GRHS) is a state-funded multi-service facility operated by the Department of Behavioral Health and Developmental Disabilities. The hospital provides quality care to mentally ill adults and individuals living with intellectual and developmental disabilities from its 34-county catchment area in Southeast Georgia. GRHS opened in December of 1970 with a design to decentralize mental health services in the state and treat people nearer to their homes and families. The hospital provides evaluation and treatment to clients needing care. The hospital's admitting office is a psychiatric emergency receiving facility open 24 hours a day.

GRHS is seeking candidates for the position of Administrative Assistant- Nursing Administration. If necessary, any travel/geography requirements can be listed here that we need to highlight.

 

FOR THIS TYPE OF EMPLOYMENT, STATE LAW REQUIRES A NATIONAL AND STATE BACKGROUND CHECK AS A CONDITION OF EMPLOYMENT. 

 

Job Description

Duties of this position include, but are not limited to:

  • Medication Surveillance committee meeting agenda, graphs, and minutes.
  • The input of medication errors into the access database.
  • Maintains competency files for all staff under nursing administration.
  • Completion of paperwork associated with the hiring processing, schedules interview appointments, complete reference checks.
  • Maintains an electronic and hard copy filing system.
  • Prepares graphs from PI data for analysis by Nurse Exec, Nurse Management PI Committee, and Nursing PI council
  • Assist with the Nursing Staff licensing process—maintaining the files.
  • Organization of meetings including agenda and document preparation along with taking and preparing minutes.
  • Setting up and scheduling conference lines and WebEx meetings.
  • eProcurement Requester—maintaining and requesting supplies for the nursing department and for nursing on all six units, Campus Supervisor’s office, and Unit 10.
  • Preparing excel spreadsheets for data collection, data entry into AVATAR, and other sources.
  • Maintaining the competency files for nursing staff.
  • Ensuring that all orientation and mandatory training files are current and complete.
  • Maintains current staff roster for nursing services.
  • Maintains Agency nurse listing and assignment.
  • Filing and organization of new and obsolete documents.
  • Assists with the compilation and submission of hourly staff payroll and overtime requests in PeopleSoft and Kronos.
  • Assists with organizing daily activities and the efficient function of the nursing departments.
  • Assists with the planning and coordination of meetings, conferences, seminars, and travel calendars.
  • Answers, screens, and directs telephone calls for the department.
  • Will perform a wide variety of office support and secretarial duties for the nursing department including acting as back-up for clinical administrative staff.

Preferred Qualifications:

·Associates degree in a related field

·At least 3 years admin experience

·Experience in MS Office Suite

·Experience in drafting correspondence, payroll, purchasing, minutes and scheduling
