Examples of Duties

Under the supervision of the Deputy Chief of Employee Training & Development (ETD) and the Computer Training Center (CTC), performs the necessary assistance to the Training division with a high level of integrity, strong organization skills and professionalism. Administer and maintain the training database record keeping system. Responsible for assisting the Deputy Chief with the administration of the department functions. Primary greeter of employees, visitors and instructors and handling employee and instructor issues. CTC vendor coordination, class preparations, training follow up and records maintenance
Essential Job Functions

  • Provides administrative support remotely or in the office.
  • Provides assistance with the development of the training content and presentations for the CTC and Workday training classes.
  • Develops, proofreads, edits, and reviews a variety of documents, diagrams, spreadsheets, and presentations.
  • Assists with the implementation, migration of training records, and training documentation for the Workday Learning Management System (LMS).
  • Determines appropriate grammar, punctuation, and spelling, and prepares documents for electronic or printed distribution or email.
  • Maintains a variety of detailed office databases and spreadsheets. Accesses databases to establish, retrieve, review, update, track, and revise training records. Performs queries and compiles personnel, training, and statistical reports.
  • Maintains training calendars, schedules Webex remote class appointments with students and instructors.
  • Operates office machinery, such as personal computers and laptops, photocopiers, fax machines, calculators, telephones, scanners, and printers.
  • Assists with the planning, design, implementation, and distribution of training manuals, quick reference cards (QRC), presentations, learning aids, student manuals and facilitator guides.
  • Maintains updated curriculum database and accurate training records.
  • Facilitates virtual training classes to assist getting students into Webex with video, chat and audio, perform attendance roll call, explain the Webex tools, and provide technical assistance if needed.
  • Produces quality course material, including PowerPoint slides, Quick Reference Cards, Job Aids, diagrams, interactive exercises, and assessments.
  • Works with subject matter experts on other teams to produce scripts, content, examples, scenarios, and timelines.
  • Supports the development of training platforms to ensure presentation and tracking of training material in a user-friendly format.
  • Provides ongoing mentorship and on-the-job training. Provide one-to-one training when requested. Provide helpdesk support with “how to” questions.
  • Monitors successful completion and comprehension of training material and provide feedback to Management and/or Team Leads.
  • Contributes to development and timely submission of progress reports. Attends meetings as needed to update on training progress and outcomes.
  • Supports development of communications materials and support information sharing across teams, departments, and Agencies.
  • Markets available training to employees and provide necessary information about the sessions.
  • Performs other related duties as required.

Qualifications

Required Qualifications
Possession of a high school diploma or an appropriate equivalent
plus
one year typing, word processing, or secretarial experience. (Additional experience as described in the essential duties may be substituted on a year-for-year basis for the required education. Additional education may be substituted on a year-for-year basis for the required experience.)
Preferred Qualifications
Five years computer experience and 3 years of experience in Education, Instructional Design, Adult Learning or Communication or related field. Additional education may be substituted on a year-for-year basis for the required experience.
Knowledge, Skills, and Abilities
Knowledge of modern office practices and procedures, including e-filing systems and digital file management; knowledge of spelling, grammar, and arithmetic; knowledge of County and departmental rules, regulations, policies, and procedures.
Knowledge of administrative support functions, performed either virtually or in the office.
Ability to use automated office systems and database management and spreadsheet software packages. Ability to extract and summarize information and to prepare correspondence and reports.
Ability to communicate effectively; Ability to perform basic mathematical computations.
Ability to set up and maintain paper and electronic filing systems; Ability to interpret, explain, and follow County and departmental rules and regulations.
Ability to establish and maintain effective working relationships; Ability to coordinate, assign, and review the work of others.
Must be a creative, dynamic thinker with strong writing and editing skills, and an aptitude for visual communication.
Must be detail oriented and able to handle multiple tasks at once in a fast-paced environment.
Skill in operation of personal computers and laptops with Windows 10, Office 365, Office 2021 (Word, Excel, PowerPoint, Outlook, and Access), Webex Meeting, Jabber, Adobe Reader. Knowledge of Access, Visio, Project, OneNote and SharePoint a plus.

Salary
Annual Salary review - Step increases may be granted on anniversary date based on satisfactory job performance
General Increases - Cost of living increases and adjustments may be granted as legislated.
