Responsibilities

The Executive Assistant will enhance the firm's effectiveness by providing administrative services to the executives under minimal supervision, while both energetic and assertive. The primary responsibility of this position is to make the Executive Team more effective and efficient. Flexibility, a sense of urgency and attention to detail will be critical success factors in this position. In this role, an employee will be expected to develop and demonstrate proficiency in regards to the essential function of the job found below. - Prepare and distribute reports and correspondence. - Create executive-level presentation materials. - Participate in a variety of team and executive meetings and facilitate follow-up as needed. - Manage assigned team project work-flows from start to finish. - Manage the shared drive and its contents by updating, organizing and maintaining all matters and methods of record-keeping. - Draft, send and manage emails on behalf of the Executive Team. - Manage correspondence for meetings, prepare briefings, note documentation, and handle periodic reporting activities. - Prepare reports, presentations, documents and other correspondence. - Produce correspondence with internal and external contacts and the distribution of documents. - Draft and edit correspondence with precision - Schedule and manage calendars, including workflow planning and calendar coordination. - Prioritize meeting requests, working proactively to identify and mitigate schedule conflicts. - Reconcile monthly credit card statements and expense reports for the Executive Team. - Coordinate and attend executive offsites, client events and various team events. - May make personal and business travel arrangements, including the creation of itineraries, air travel and hotel accommodations. - Travel will occasionally be required.

Qualifications

- Bachelor’s degree or equivalent combination of work experience and education. - Four plus (4 ) years of executive experience required. - Excellent communication and people skills. - Advanced knowledge of the internet, Microsoft Word, Excel, and PowerPoint. - Ability to juggle and multitask multiple schedules and assignments. - Ability to maintain confidentiality.
