Your Tasks
Provide daily administrative support and perform daily scheduling activities for our Operations and R&D team.
Manage a wide variety of complex and confidential situations by exercising discretion and independent judgment.
Manage schedules, arrange meetings with other departments, organizations or clients.
Events planning and coordination with administrative assistants within other divisions.
Review timesheets for R&D, Project management and installation supervisor staffs.
Book domestic and international travel plans working with the Durr travel agency and program.
Upload, manage and submit expense reports for Durr employees.
Interact with other executive staff, management and employees to support their needs and address their concerns.
Draft, review and revise correspondence, e-mail, reports and multi-media presentations.
Perform language translation of document utilizing Durr provided software - languages include German, Italian, Swedish and English.
Scheduling responsibilities will include generating cases within a Customer Relations Management software to plan and record assignments in support of internal and external customers. Manage schedule updates and collect site requirements for a team of ten installation supervisors.
Receive requests from internal and external customers and process the request efficiently and appropriately.
Work closely with customers to define scope of work and schedule demands to assign proper technician to work order.
Gather support documentation from team members to provide clear definition of assignment requirements to technicians.
Create Service Requests outlining EH&S needs, and other site requirements.
Manage schedule changes and available resources.
Gather and compile and store site records after assignments have been completed.
Occasionally generate reports and other documents in support of department team members.
Your Skills
Two or Four Degree in Business Administration or related field.
Certified Administrative Professional.
Thorough knowledge of MS Office Software, Word, Excel, PowerPoint.
Excellent communication and organizational skills.
