Ascendo Resources is actively recruiting an AIA Billing/Collections Specialist for an immediate, full-time position at a construction company based in Queens, NY.

The ideal candidate must have prior experience in AIA billing and collections.
The schedule is Monday to Friday, 9 am to 5 pm, totaling 40 hours per week, with a pay rate ranging from $25 to $35 per hour.

Responsibilities include:

• Processing a high volume of monthly invoices in NetSuite, particularly focusing on AIA construction invoicing to ensure accuracy and compliance.
• Managing approximately 40 time-consuming AIA invoices monthly with meticulous attention to detail.
• Collaborating with project teams to gather essential information for AIA invoicing, including project details, milestones, and lien waiver documentation.
• Verifying billing data accuracy and promptly resolving discrepancies, especially within the specialized context of AIA invoicing.
• Generating and distributing AIA invoices to clients as per project timelines and contractual obligations.
• Navigating lien waiver processes associated with AIA invoices to ensure compliance with legal requirements and project specifications.
• Reconciling the accounts receivable sub-ledger to the general ledger, identifying and resolving any discrepancies related to AIA invoicing.
• Working closely with internal teams to address client inquiries related to AIA billing and accounts receivable.
• Collaborating with cross-functional teams to enhance AIA invoicing processes and overall efficiency.

Qualifications:

• Demonstrated experience in AIA construction invoicing within the construction or related industry.
• Proficiency in NetSuite or similar ERP systems.
• Strong analytical and problem-solving skills with a keen attention to detail.
• Knowledgeable about lien waivers and their application in the AIA invoicing process.
• Excellent communication and interpersonal skills to effectively collaborate with internal teams and clients.
• Ability to thrive in a fast-paced environment and meet tight deadlines.
• Familiarity with accounts receivable reconciliation processes.
• Knowledge of relevant billing regulations and industry standards.
