Arizona Restaurant Supply is Hiring an Administrative Assistant Near Tucson, AZ

Catena Development Services, LLC (a division of Arizona Restaurant Supply, Inc.) is a dynamic and growing food service equipment and design firm based in Arizona. Catena is a leading supplier of restaurant equipment, design services, and installation to the multi-unit foodservice and hospitality segments nationwide.

Catena is looking to immediately add an Administrative Assistant to our team. Our ideal team member is driven, motivated, tech-savvy, highly detailed, and organized. You will need to have great problem solving and communication skills with an ability to multitask.

Position Summary:

Administrative Assistants work directly with our Account Specialist (AS) and Assistant Account Manager (AAM) teams, helping with equipment ordering, tracking, logistics, updating spreadsheets/project logs, and compiling close out documents for multiple nationwide commercial kitchen projects.

Essential Job Functions:

Consistent monitoring of emails for urgent requests.

Preparing and submitting purchase orders to equipment manufacturers as directed.

Accurate and timely updating of project equipment tracking spreadsheets.

Partner with an Account Specialist (AS) to provide administrative support for all project logistics.

Request quotes for equipment and coordinate shipments at the direction of the AS & AAM team.

Oversight and coordination of all close out documents for projects.

Reviewing manufacturer order acknowledgements for discrepancies and approve factory invoices as needed.

Job Requirements:

Education: High School Graduate, Associates Degree preferred

Experience: Ideally at least 1 year in an administrative role. Office administrative work and/or restaurant equipment experience is highly desirable. Willing to train the right candidate!

Required Skills:

  • Strong typing and computer skills required.
  • Tech-savvy with the ability to learn new software quickly.
  • Excellent communication and interpersonal skills.
  • Well organized, accurate, and attentive to detail.
  • Strong problem solving skills.
  • Ability to multi-task in a fast-paced environment.

Highly Desirable:

  • Knowledge of the food service equipment industry.
  • Restaurant experience.
  • Office Administration experience.
  • Customer Service skills.
  • Excel, AutoQuotes and NetSuite experience are a plus.

Physical Requirements: Normal working conditions for an office environment.

This position is full-time and eligible for paid holiday, vacation, and sick time, as well as life, medical, dental, and supplemental insurance plans and 401(k) matching.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
