Caliber Financial Services is Hiring a Project Support Specialist Near Overland Park, KS

Job Title: Project Support Specialist
Reports To: Director of Strategic Initiatives, Operations
Position location: This is a limited remote position; candidates must reside in the Kansas City Metro area in order to be considered.
Caliber Financial Services, a leading fintech company, is looking for a high energy person to join our Operations Team. This position is a great opportunity for someone who is looking for a fast-paced challenging role that will bring new and different tasks daily. The ideal candidate will be coachable and have experience in projects and analytics. In this position, you will help organize and coordinate a variety of department projects and serve as a resource on various Operations initiatives. You will work closely with the Operations Team to fulfill a variety of necessary tasks while gaining valuable knowledge and experience.
WHO WE ARE LOOKING FOR:
This role is a great opportunity for someone looking to expand or use their vast knowledge set in many different areas of business as this is a hybrid role, combining aspects of Project Coordination and general Operations team support.
Anyone who has skills or experience as a project manager, project coordinator, business analyst, product manager and/or operations support would be a good fit for this role.
ABOUT THE ROLE:
This role will support the Caliber Operations team and will report directly to the Director of Strategic Initiatives.
The focus of this role is project coordination, maintaining project status documentation, creating reporting, and managing the overall organization of project activities for the Operations team.
While the main focus of this role is project-oriented, the role also will have a support component to it where you will be required to assist on ad-hoc tasks or Operations team activities as needed. These tasks can and will vary day-to-day, exposing you to several different activities ranging from creation of project support materials (such as presentation materials or documents on various topics), assisting with testing, assisting with creation of communication copy, and many other tasks that typically don’t fall under one specific job title.
This role is considered a “floating resource” that will assist with Operations activities where resources are limited and need additional assistance.
This role is excellent for someone that has prior experience in an Operations capacity, especially one with a Call Center and Collections component to it.
Our company is fast-paced and is looking to bring a rockstar team member in to help support the Operations team and the oversight of its projects. Successful candidates must have an excellent attitude, top-notch communication skills, and strong critical thinking and problem-solving skills due to the various nature of assignments you will be tasked with.
DUTIES AND RESPONSIBILITIES:
  • Lead weekly project update meetings where you will gather updates on all ongoing team projects.
  • Translate verbal project updates in real-time and convert to written format in a concise and descriptive manner within our project management system.
    • Must also be able to ask follow-up questions to ensure that documented project updates are complete and provide a holistic view of activities completed since the last update, the current project status, next steps, current risks, and timeline impacts.
  • Document project updates weekly (and ad-hoc as necessary) to maintain a detailed history of project progress from initiation through launch and post-launch monitoring activities.
  • Create regular reporting that summarizes project progress updates, challenges, bottlenecks and risks to project timelines.
  • Provide project support and assistance, as needed. Tasks may include project research, creation of presentation materials, vendor communications, documentation creation, and other ad hoc tasks as assigned.
  • Assist with keeping the Operations team organized, including preparation for quarterly review events, creating itineraries for travel events, preparing presentation templates, facilitating preparatory meetings, and planning and executing team activities.
  • Assist with keeping the Operations team documentation organized within Microsoft Teams.
  • Assist with overall Operations team activities to keep the team and projects running smoothly.
  • Responsibilities can and will vary day-to-day, and you will be asked to complete various ad hoc activities in order to support the overall success and organization of the Operations team.
KNOWLEDGE/EXPERIENCE:
  • 3 years’ experience in project management or coordination.
  • Prefer candidates that also have experience in an analytical role, such as a business analyst.
  • Must have proficient knowledge of all aspects of project phases from start to finish including technical projects involving system integrations, upgrades, or sunsetting.
  • Must be familiar with technical concepts and terms such as APIs, batch files, SFTPs, system integrations, testing (QA and UAT), process mapping, etc.
  • Must have experience with projects spanning cross-functional groups with technical impacts, including system or software upgrades/updates, system replacement, and/or system sunsetting.
  • Must have experience with overseeing several projects concurrently and maintaining documentation on them throughout their progression while guiding stakeholders successfully through to launch.
  • Must have experience creating professional presentations that are both visually appealing and content-appropriate with minimal to no oversight.
  • Must have experience creating data visualization components (charts/graphs) from raw information, preferably in excel.
  • Must be highly proficient in MS Office Suite, including Excel, Powerpoint, Word, and Teams.
  • Candidates should be familiar with standard process mapping practices and Visio software.
  • Prefer candidates with experience in RFI/RFP exercises during vendor selection processes.
  • Experience with Microsoft ADO (Azure DevOps) is a plus.
  • Prefer candidates with experience in Operations and/or Call Centers.
  • Prefer candidates with experience in the Fintech or Consumer Finance industry.
