Position Title: Human Resources Coordinator
Department: Legal - Human ResourcesFLSA Status: Exempt
Organizational Relationships: This position reports to the Human Resources Director and is part of the Office of the Governor human resources team. This position does not have supervisory responsibility.Expected Annual Travel: None
Salary Range: $57,709 to $66,373Summary of Functions: This position has responsibility for handling the day-to-day administrative human resources activities (staffing, benefits, and talent management) for various departments within the Office of the Governor. This includes providing HR support in the recruitment and hiring process; on and off boarding of employees, management of employee’s benefits, including leave matters, and talent management related activities (performance evaluations, learning and development, etc.). This position will also respond to internal and external HR related inquiries or requests and provide assistance to the Human Resources Director.
Essential Duties and Responsibilities:
General HR administration:
Respond to internal and external HR related inquiries or requests and provide assistance to the Human Resources Director.
Maintain records of personnel-related data (personal information, benefits, job descriptions, leaves, etc.) in both paper and the database and ensure all employment requirements are met.
Liaison with other departments or functions (payroll, benefits etc.) in regard to HR related activities.
Work with the Human Resources Director to maintain required records and files, including confidential medical files and information; ensures that all paperwork is included in the central leave management repository.
Schedule meetings, interviews, HR events etc.
Reviews and approves Personal Services Agreements and certifies contracts
Coordinate updates to the Governor’s Office employee handbook, including required policy change updates to the Governor’s Intranet; maintain an accurate Desk Manual
Manages office keys
Manage the RTD EcoPass account, request passes for employees
Staffing:
In coordination with the HRD, support the recruitment/hiring process, including posting job descriptions, processing background checks, and completion of new hire paperwork (offer letter, I-9, etc.).
Serve as the department’s subject matter expert on the onboarding and offboarding process to ensure smooth process for staff
Perform orientations, onboarding and update records with new hires.
Complete OIT forms for new and departing employees
Conduct and analyze exit interviews and make actionable recommendations based on data
Benefits administration:
Approve and process leave sharing requests.
Assists with Family Medical Leave (FML), ADA, Workers' Compensation (WC), Short-Term Disability (STD) and Leave Sharing Coordinator and Case Manager for assigned division(s).
Designates claims, develops and provides required notifications, tracks leave associated with FML, WC and STD, monitors return-to-work program and ensures required forms and requests are completed and received.
Tracks Leave Without Pay (LWOP) for service adjustments. Work with Payroll to process required KRONOS actions related to leave and other issues related to leaves.
Talent Management administration:
Assist supervisors in performance management procedures.
Coordinate training sessions and seminars.
Other:
Assist in ad-hoc HR projects.
Other duties as assigned.
Education/Experience:
Two to four years of progressively responsible administrative experience, including in a human resources function.
General understanding and/or exposure to other human resource related functions, i.e., recruitment, on-boarding/off-boarding, benefits administration, compensation, learning and development, etc.
Communication skills: Excellent speaking and listening skills to share information effectively, while paying careful attention to concerns and questions from employees and job applicants.
Detail-oriented: When ensuring the workplace is compliant with labor standards and when maintaining records regarding employee grievances, performing background checks and reviewing candidate qualifications.
Interpersonal skills: Ability to effectively interact with individuals from various backgrounds and experiences.
Good organizational and time management skills
Demonstrated ability in using Google (Google Calendar, Google Meet, Google Docs, etc.) and Microsoft Office (Excel, Word, OneDrive, etc.).
Experience with HR databases and HRIS systems.
Ability to handle data with confidentiality.
Preferred Qualifications: Bachelor’s degree in a related field or combination of 4 years of relevant work experience/education. PHR or SHRM-CP certification.
