INIT Innovations in Transportation, Inc. (INIT) is seeking a HR Administrative Assistant. Qualifications:

Specific Job Requirements

  • Administrative support to the HR Manager.
  • Administrative support to General Counsel on an as needed basis for HR Legal.
  • Scan and file various source documents according to company procedure.
  • Create employee marketing materials for HR department.
  • Assist with employee gifts, ordering, tracking and shipments.
  • Assist HR team with employee events, planning, organizing, set up and clean up.
  • Create employee surveys as needed.
  • Create and order employee ID badges and business cards.
  • New hire – employee picture, upload photo into various HR software. Maintain new hire Welcome Guide.
  • Assist with creating and updating employee benefit open enrollment materials.
  • Update all HR documents in UKG as needed.
  • Send out holiday emails to global INIT group.
  • Maintain employee master list for intercompany reporting. Update internal intranet and org charts. Notify IT of title changes and new hire employee cell phone number for alert system.
  • Create and upload company meeting HR slides, including employee milestone anniversaries.
  • Track and send out employee birthday and anniversary cards. 
  • Maintain Lands' End Storefront for different departments.
  • Maintain UKG home page, new announcements and policies, UKG Gadget updates.
  • Maintain and update UKG Document Manager and People Assist.
  • Send out Text announcements and timesheet reminders to employees in UKG.
  • Backup Office Administrator as needed.
  • Maintain Fire Drill employee list and coordinate with Office Administrator.
  • Backup for employee equipment checkout.

Knowledge and Experience

  • Minimum requirement: 1-2 years office administration experience.
  • Strong analytical and problem solving skills.
  • INIT works with modern e-office tools (MS-office, Word, Excel, Outlook, PowerPoint) and expects a candidate to be proficient with this environment.
  • Required knowledge of Canva software.
  • Knowledge of UKG (or other HRIS system) a plus.
  • Superior written and verbal communication skills.

Work Location - This is an in-office position.
