About Western Landowners Alliance (WLA): Founded in 2012 by landowners and managers, the organization aims to increase the wellbeing of working lands in the American West and the living communities, including human and wildlife, that depend on them.
Position Overview: We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to the Chief Executive Officer and other members of WLA’s executive team. The Executive Assistant will play a crucial role in ensuring the smooth and efficient operation of the CEO's office, enabling them to focus on strategic priorities and maximize their productivity.

Amount of Time & Status: 40 hours a week, exempt, Monday-Friday (flexible).

Location: This position is remote, but individuals must be located in the American West. Periodic travel may be required.

Reports to: Chief Operating Officer

Compensation: $50,000-$65,000. Salary is commensurate with experience. Duties/Responsibilities Include:

  • Manage the CEO's calendar, scheduling of appointments, meetings, and travel arrangements
  • Handle correspondence on behalf of the CEO, including drafting and editing emails, letters, and other communications with accuracy and attention to detail
  • Serve as communication liaison managing information flow and task prioritization on behalf of the CEO
  • Provide additional administrative support such as meeting scheduling and travel arrangements for other members of the executive team
  • Act as the primary point of contact on behalf of the CEO for external stakeholders, including board members, donors, and partners, demonstrating professionalism and excellent communication skills in all interactions
  • Prepare and organize materials for meetings, including agendas, presentations, reports, and follow-up actions, ensuring the CEO is well-prepared and briefed on all relevant information
  • Assist in the coordination and execution of special events and meetings, such as fundraisers, board meetings, and outreach activities
  • Maintain confidentiality and discretion in handling sensitive information and matters related to the CEO's office
  • Anticipate the needs of the CEO and proactively identify opportunities to streamline processes, improve efficiency, and enhance productivity
  • Collaborate effectively with other members of the executive team and administrative staff to foster a cohesive and supportive work environment
  • Data entry and administrative tasks
  • Perform other duties as assigned

Preferred Qualifications:

  • Minimum bachelor’s degree in related field from an accredited institution or equivalent work experience required
  • Experience managing information systems
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives in a nonprofit or corporate environment
  • Strong written and verbal communication skills, with a keen eye for detail and accuracy
  • Proficiency in Microsoft Office Suite and other relevant software applications
  • Discretion and integrity when handling confidential information and sensitive issues
  • Ability to work independently with minimal supervision and collaborate effectively as part of a team
  • Outstanding interpersonal skills and ability to build and maintain positive working relationships
  • Excellent written and verbal communication skills; detail oriented, strong independent work ethic; and ability to manage multiple priorities in a dynamic work environment
  • Valid driver’s license and reliable transportation required
  • Willingness and ability to maintain confidential information and work with diverse populations

Working Environment/Physical Activities: Work environment is an office and field setting. Physical activities include sitting at a desk and working on a keyboard and computer several hours a day, conducting business over the telephone and via email, standing for long periods of time, periodic travel and traveling long distances by vehicle (including traveling on unpaved roads). This position may also require moving materials up to 25 pounds.
