**Administrative Support Assistant II (Front Desk Coordinator)** **Location** Main Campus Housing & Residential Life (Housing), a self-funded auxiliary housed within Campus Life at the University of Arizona, operates 23 dorms and 1 graduate apartment complex that house over 7,800 students annually on the University of Arizona Main Campus. More than 80% of on-campus residents are first-year students. Our dorms range in style from historic to modern and range in size from 60 to 1000 residents. While the University does not require students to live on campus, more than 70% of all incoming first-year students choose to live in UA housing to help their transition to university life.

The Administrative Support Assistant (Front Desk Coordinator) performs a variety of administrative and finance duties including document preparation, scheduling, record keeping, data entry, and customer service support for both the Finance, Analysis & Budget and Technology Services teams in Housing & Residential Life. They will create and update departmental files, databases and reports, and prepare purchasing documents as needed. They will manage and respond to inquiries from staff, utilizing knowledge of department and university policies and procedures. This position will train and supervise 1-2 student employees and assist in hiring and performance management.

**Duties & Responsibilities** DUTIES AND RESPONSIBILITIES:
* Performs a variety of administrative duties including document preparation, scheduling, record keeping, data entry, and customer service support for both the Finance, Analysis & Budget, and Technology Services teams in Housing & Residential Life.
* Creates and updates departmental files, databases, and reports, and prepares purchasing documents as needed.
* Manages and responds to inquiries from staff, utilizing knowledge of department and university policies and procedures.
* Supervises 1-2 student employees and assists in their hiring, training, and performance management.
* Gathers, organizes, and enters financial transaction data into department software. Pulls data from the software database and compares the information to communications with staff members.
* Manages the front desk including greeting and directing visitors, answering incoming calls, coordinating mail services, and ensuring that the entrance to the office is well-organized and professional in appearance.
* Prepares and organizes basic financial documents or support documents on behalf of the Finance and IT teams.
KNOWLEDGE, SKILLS, ABILITIES:
* Strong communication and interpersonal skills
* High level proficiency with word processing and spreadsheets
* Strong record-keeping and organizational skills
* Demonstrated ability to exercise discretion and good judgement and critical thinking
* Skill in problem analysis and resolution.
**Minimum Qualifications**
* High school diploma or equivalent, or equivalent learning attained through experience required and minimum of 3 years of relevant experience required.
**Preferred Qualifications**
* Two years of experience manipulating databases and data entry
* Two years of customer service experience
* Experience with UA policies and systems
* Prior supervisory experience
* Valid Drivers License and ability to drive according to the University .
