United States House of Representatives is Hiring an Administrative Specialist Near Washington, DC

Administrative Specialist

Salary: $67,797 - $77,509

Incumbent performs administrative tasks to ensure the smooth operation of the office. Incumbent is required to have a working knowledge of the U.S. House of Representatives, as well as a broad understanding of the Office of the Sergeant at Arms and all applicable legal requirements, House Rules, Committee, and Sergeant at Arms policies.

Duties Include:

  • Assists with administrative tasks in support of the Sergeant at Arms and Immediate Office personnel.
  • Assists with the management of office calendars to include Sergeant at Arms, Chief of Staff, and office conference room.
  • Assists in arranging travel needs (air/hotel/ground transportation) and compiles receipts for Administrative Division staff to coordinate reimbursement.
  • Assists with meeting preparation to include room set up and coordination of audio-visual equipment.
  • Assists in the management of office filing systems (physical and electronic), including procedures for retention and disposal of records.
  • Assists with onboarding of new Sergeant at Arms staff in the Immediate Office.
  • Assists with notifications for Sergeant at Arms leave programs to include Leave Share and Bereavement Leave and coordinates related documentation.
  • Coordinates and assists with annual time and attendance reporting for Immediate Office personnel.
  • Assists with Member Services to include the distribution of Member pins, plates, and tour requests.
  • Assists with requests for access to include vehicles, deliveries, catering, and equipment, and provides notification to the USCP as needed.
  • Submits requests for office services (e.g., furniture, repairs, phone support, etc.) and track service requests.
  • Assists with front desk reception duties as needed.
  • Assists with ordering and inventory of office supplies.
  • Serves as the Office Emergency Coordinator for the division.
  • Assists with special events as needed.
  • Performs other duties as assigned.

WorkExperience and Education:
Bachelor’s degree. A minimum of twoyears of experience related to the position. Must be able to pass a criminalhistory records check.

Knowledge, Skills, &Abilities (KSA):
Knowledge of policies and proceduresof the House of Representatives and the United States Capitol Police; excellentorganizational skills; excellent oral communications skills; strong writtencommunications skills; strong computer skills to include the use of MS Officesuite applications; detail oriented; professional telephone manner; ability tolisten carefully and respond in a tactful and courteous manner to requests andinquiries from Members of Congress, congressional staff, official businessvisitors, and the general public; ability to work well under pressure andmaintain a professional and courteous work disposition; ability to develop andmaintain effective working relationships within the Congressional community; abilityto maintain and troubleshoot office equipment to include telephones, copiers,and multi-function printers.
WorkSchedule:
Full-time,permanent. Monday – Friday, 8:30 a.m. – 5:00 p.m. Must be able to work outsideof normal business hours, when necessary, evenings and weekends as needed.
