Regional Administrative Assistant - Houston, TXJob Description

The Regional Administrative Assistant assists the Regional Development Director and lends support to other offices within the assigned region as needed. The Regional Administrative Assistant must display initiative, good judgment, ability to work independently, handle multiple tasks simultaneously, and have an understanding of and sensitivity to UNCF programs and procedures. This position will have both administrative and clerical duties.

Primary Responsibilities and Duties
  • Act as liaison with Area Offices, Regional Vice Presidents, Regional Administrative Assistants, Headquarters Staff, Office of the President, and Executive Vice President of Development’s office.
  • Manage Human Resource matters including but not limited to reviewing all vacation requests; ensuring that staff vacation calendar is up to date; and/or following up on candidate’s interview processes.
  • Generate CRM queries, reports, exports, and other collection data as needed.
  • Coordinate and prepare materials, agendas, and travel for regional meetings or events.
  • Prepare monthly expense reports; receive, log, and maintain monthly and/or weekly reports from regional offices (i.e. Action Plan Reports, Prospect Reports, Call Reports, Event Reports); and obtain vendor bids, process contracts, review, process, and log invoices for payment from area offices and regional director.
  • Assist with planning and staffing major special events as necessary; manage guest lists.
  • Manage Regional Director’s donor research, donor actions, donation processing, gift acknowledgments, donor meetings, calendar, and travel; and serve as back-up for region administrative assistants as needed.
  • Write correspondences for RDD; type, edit, proofread, and format communications for accuracy.
  • Open and distribute mail; order office supplies and equipment; answer phones including setting up conference calls.
  • Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

QualificationsEducation and/or Experience:

High school diploma required; college experience strongly desired and a minimum of 5 years administrative assistant/secretarial experience.

Software Skills Required:

Proficient in O365 with intermediate to advanced knowledge in Word and Excel. Must be proficient in mail merges and correcting source or cell errors. Must be proficient in the manipulation of Excel formulas and creating filters.

Other Skills and Abilities:
  • Excellent phone etiquette; strong organizational, interpersonal, and listening skills.
  • Ability to work under pressure, in a matrixed, fast-paced, deadline-oriented environment, with a high level of professionalism, accountability, and confidentiality.
  • Proficiency in Raiser’s Edge (CRM), Constant Contact (or other mass email deployment platforms), Convio (or other event registration platforms), and social media is a plus.
  • Must have the ability to multi-task, prioritize, and manage multiple projects simultaneously and complete them in a timely manner.
  • Must display initiative and the ability to work well independently and demonstrate exceptional customer service skills.
  • Must be a self-starter, cooperative, and work well in a group.
  • Ability to travel locally and nationally.
