Job Title: Human Resources Assistant

JOB LOCATION: STATEN ISLAND, NY (in person)

Schedule: 40 hours min. per week

Job Type: Full-Time

Pay Type/ FLSA Status: Exempt/ Salaried

Reports To: Director of Human Resources

Pay Range: $58,500 to $60,000 annually

(*based on city, state and/ or federal contractual obligations and budgetary allowances)

POSITION SUMMARY: The Human Resources Assistant will provide support and assistance to the human resources department in a variety of capacities based on organizational and department needs. On a daily basis, the Human Resource Assistant will be responsible to perform administrative tasks effectively and efficiently related to HR which include, but are not limited to, recruitment, data base management, filing and record keeping, and act as a liaison for employees and management. The HR Assistant must exhibit and possess strong organizational skills, inter-personal skills, is very detailed orientated and enjoys working in a fast-pace environment. The HR Assistant must have an out-going friendly personality and strive on multi-tasking.

PRIMARY JOB RESPONSIBILITIES (include but are not limited to):

· Performs personnel file maintenance, audit and filing documents appropriately.

· Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.

· Coordinate and schedule interviews, meetings and maintains department calendar.

· Assist with preparation with any HR materials and handouts.

· Assist and attend local hiring recruitment events.

· Maintains high standards of confidentiality of all employee records and information.

· Maintains compliance with federal, state, and local employment laws and regulations, in addition to a clear understanding of company policies and procedures.

· On-boarding; working closely to assist the HR team related to on-boarding staff and clearances.

· Work closely with staff on collecting and maintaining time sensitive documents related to employee personnel files.

· Respond to all verifications of employment and third-party requests timely.

· Work closely with HR Director, HR Manager and the HR Generalists, and the other management teams to reinforce the organization’s culture, values and policies.

· Communicates verbally and in writing in a professional manner at all times.

· Attends staff meetings and trainings, as required

· Responds to all communications including telephone, email, and other oral and written inquiries in a timely manner.

· Create, maintain, and organize personnel records (physical and electronic) with HR regulations and I-9 forms in accordance with employment law requirements

· Provide administrative support for employee terminations, including scheduling exit interviews, and creating termination letters.

· Compile and prepare reports from HR information system records and other HR databases

· Maintain and organize all audit results, policies, and liability certificates

· Performs other related duties as assigned.

JOB QUALIFICATIONS:

· Minimum Bachelor’s Degree in human resources or Associates Degree with relevant experience

· Minimum two years of professional-related experience is required

· Experience with Human resources and/or compensation and benefits

· Understanding of Federal, NY State and City Labor Laws

· Understanding of general HR processes, and experience providing support to the full employee life cycle (e.g., recruiting, onboarding, termination)

· Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

· Proficient writing and verbal communication skills.

· Proficiency in basic computer usage, i.e., Windows, Microsoft Suite, Google Apps (drive, sheets, docs) etc.

· Excellent organizational and time management skills.

· Demonstrate the ability to effectively conduct and complete work independently and collaboratively.

· Willing to take initiative and be flexible when needed.

· Excels working in a collaborative environment to achieve target objects and outcomes.

PHYSICAL REQUIREMENT:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is occasionally required to stand; sit or walk. Specific vision and hearing abilities are required by this job as outlined below.

· Incumbent will be scheduled based on operational need.

· Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

· Position is in a well-lighted office environment.

· Involves sitting approximately 80% of the day, walking or standing the remainder.

· May include travel to a variety of locations, based on programming needs. Which is reimbursed in accordance with UAU’s fiscal policies and procedures. Also requires a reliable mode of transportation.

· May include working prolonged periods of time sitting at a desk and working on a computer.

· The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

· The ability to observe details at close range (withing a few feet or more of the observer).
