The Administrative Coordinator will serve as the front desk and administrative support for Information Systems and Computing (ISC). The ISC Administrative Coordinator will often serve as the first point of contact when entering ISC's suite of offices. The selected candidate must possess a service mindset, be flexible, adaptable, and willing to perform routine and non-routine tasks as needed. Under limited supervision, this position provides a broad range of administrative and programmatic support for the Office of the Senior Vice President. In addition to providing front desk support for ISC's suites, this role will provide support for ISC's senior leadership team. This role will report to the ISC Staff Assistant. Job Description Job Responsibilities Greet visitors and provide directional assistance as required. Manage conference room scheduling and cleanliness. Manage multiple senior-level complex calendars and facilitate intricate cross divisional meeting scheduling. Maintain office and breakroom inventory. Process purchase order requisition requests. Function as ISC facilities liaison, which includes processing work requests for facilities repairs/needs, coordination of housekeeping needs, and liaising with the building administrator. Assist with ISC events coordination, which includes scheduling the venue, caterer, select vendors, and onsite coordination. Assist with ISC travel management. Maintain office equipment/supplies. Provide meeting support, including recording, preparing, and distributing meeting minutes; prepare ad hoc reports. Records management and retention. Qualifications High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required. Proficiency with MS Office (Outlook, Word, Excel, PowerPoint, Teams, OneNote) and an aptitude for learning new software. Excellent verbal and written communication skills with keen attention to detail. Experience providing complex administrative support in a high-profile environment with tact and diplomacy. Exceptional organizational and time-management skills, with the ability to prioritize tasks, meet deadlines, and remain flexible in a fast-paced environment. Ability to work well with others, contribute to a positive work environment, and provide support to colleagues when needed. Experience with Penn Financial systems, such as BEN Financials, Concur, and Business Objects or equivalent systems preferred. Prior work experience in a university setting is preferred.
