The Receptionist/HR Assistant functions as the initial face of the Company for employees, visitors and general phone calls. This role is also responsible for light HR administrative duties that may include recruiting assistance, database updates, and assistance with Company events. This position shares a space with off hours front desk attendants / security staff.

Primary Responsibilities

• Answers incoming calls, directs calls to the appropriate people and/or answers general questions (ie address, where to look if we are hiring, etc) or directs inquiries to the appropriate person best able to answer. If call is an employee calling in for work- notify (email and call) appropriate personnel.
• Greets and processes incoming visitors and monitor incoming/outgoing Employees (including if the employee uses badge to scan in, doesn’t let others in without scanning in or registering at reception desk, not taking product home without purple pass etc).
• Maintains security by following procedures and controlling access. Visitors log, passes, and appropriate paperwork.
• Watches external cameras. Makes inspection(s) of outside of building to inspect and monitor for vandalism, loitering, etc. Report any observations to appropriate personnel.
• Completes required visitor logs, documentation, and records accurately and on time.
• Assists with recruiting. May include general phone screens, organizing/coordinating interviews, other related activities.
• Orders office, kitchen, and other miscellaneous supplies. Stocks supply areas and keeps running inventory.
• Sorts daily mail, HR data entry, and other HR related tasks/projects which may require organization and attention to details including quarterly rosters, digital billboard postings, etc.
• Assists with tasks associated with Masterson Store/Masterson Money programs, and company events, including preparation, set up, gift/prize purchasing, coordination, etc.
• May be asked to provide backup coverage for and rotate holiday coverage with the (off hours) Front Desk Attendant group.
• Completes other related duties as assigned or requested.
• Responsible for aspects of safety, food safety, continuous improvement/efficiency improvement and adhering to policies and procedures as related to the position

Required Qualifications

• High School diploma or equivalent.
• 1 year(s) in an office or security setting.
• Proficient computer skills including Microsoft Office, with an emphasis on Outlook, Word, and Power Point.

Skills and Abilities

• Proficient interpersonal and communication skills, verbal and written, with the ability to interact with all levels of staff.
• Able to accurately handle multiple tasks with interruptions (i.e. phone calls, or checking in visitors mid-project).
• Able to maintain a clean and professional work environment and appearance for the Company.
• Naturally outgoing personality – able to talk to and make all feel welcome.
