Job Title: Administrative Assistant at Tutoring Center

Overview:
The Administrative Assistant at our tutoring center plays a crucial role in ensuring the smooth operation of administrative tasks and providing exceptional customer service to students, parents, and tutors. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Greet students, parents, and tutors warmly and assist them with inquiries.
  • Answer phone calls, schedule appointments, and manage the center's email correspondence.
  • Attending the communities and events, promoting the business.
  • Maintain a tidy and organized reception area.
  • Assist with student enrollment process, including registration, payment processing, and scheduling.
  • Maintain accurate student records and update information as necessary.
  • Coordinate with tutors to ensure they have necessary student information for sessions.
  • Manage tutoring schedules and ensure efficient allocation of tutoring sessions.
  • Coordinate with tutors and students to reschedule sessions when necessary.
  • Update and maintain the center's calendar of events, including workshops and seminars.
  • Assist the center director and tutoring staff with administrative tasks as needed.
  • Prepare materials for tutoring sessions, including worksheets, study guides, and other resources.
  • Assist with marketing initiatives, including social media updates and promotional materials.
  • Monitor and maintain inventory of office and tutoring supplies.
  • Coordinate with maintenance staff for any facility-related issues.
  • Ensure the cleanliness and organization of tutoring rooms and common areas.
  • Provide exceptional customer service to students, parents, and tutors, addressing any concerns or issues promptly and professionally.
  • Act as a liaison between students, parents, and tutors to ensure a positive experience for all parties involved.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Previous experience in administrative support or customer service roles preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • A friendly and approachable demeanor with a passion for helping others.
