Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. The ideal candidate will have strong administrative skills, excellent communication abilities, and the ability to handle multiple tasks simultaneously. This is a full-time position based in our office. This position entails working in a medical office and other affiliated companies.
Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements
- Coordinate and assist with project management tasks, such as tracking deadlines and deliverables
- Provide personal assistant support to executives, including managing personal appointments and errands
- Prepare and edit documents, presentations, and reports using Microsoft Office Suite
- Handle electronic signatures using DocuSign or similar software
- Perform data entry and maintain accurate records and files
- Assist with office management duties, such as ordering supplies and coordinating maintenance requests
- Answer phone calls, take messages, and direct inquiries to the appropriate person or department
- Provide administrative support as needed, including transcribing meeting minutes and preparing correspondence
Requirements:
- Proven experience as an Executive Assistant or similar role
- Proficient in Microsoft Office Suite (Outlook Calendar, Word, Excel, PowerPoint)
- Strong project coordination skills with the ability to prioritize tasks effectively
- Excellent organizational and time management abilities
- Familiarity with electronic signature software (e.g., DocuSign)
- Strong data entry skills with high attention to detail
- Knowledge of office management systems and procedures
- Experience with phone systems and handling calls professionally
- Exceptional communication skills, both written and verbal
