Job Description:
As a Part-Time Executive Assistant, you will play a crucial role in supporting the daily operations and activities of a retired businessman in his Beverly Hills office. The successful candidate will possess exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, professionalism, and dedication.

Responsibilities:

  • Travel Arrangements: Coordinate complex travel itineraries including flights, accommodations, transportation, and visa arrangements. Ensure seamless travel experiences and timely communication regarding any changes or updates.
  • Calendaring: Manage and maintain the executive's calendar, scheduling appointments, meetings, and events with precision. Prioritize tasks and deadlines effectively to optimize the executive's time.
  • Philanthropic Assistance: Assist in coordinating philanthropic initiatives and charitable activities. Liaise with relevant organizations, schedule meetings, and oversee logistical arrangements for events or fundraisers.
  • Administrative Support: Provide general administrative support such as handling correspondence, drafting emails, preparing documents, and maintaining organized filing systems. Handle incoming calls and inquiries with professionalism and discretion.
  • Project Coordination: Collaborate with the executive on various projects and initiatives, ensuring timely completion and adherence to objectives. Assist in research, data analysis, and presentation preparation as needed.
  • Working with Antiquities: Assist in managing collections of antiquities, artifacts, or other valuable items. Handle inventory management, documentation, and coordination of preservation efforts.

Qualifications:

  • Previous experience in a similar role providing executive support and assistance preferred.
  • Excellent communication skills, both verbal and written.
  • Strong organizational abilities with meticulous attention to detail.
  • Proficiency in calendar management, travel coordination, and office software applications.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Flexibility to adapt to changing priorities and deadlines.
  • Knowledge or interest in philanthropy, antiquities, or related fields is a plus.

Schedule: Part-Time, set schedule - Monday / Wednesday / Friday
