The Office Manager role involves being the first point of contact for the company, welcoming employees, and guests, and managing general office operations. Additionally, this role is responsible for fostering a positive work environment to enhance organizational effectiveness andcommunication. This role will oversee daily office functions while managing vendor relationships to maintain a productive work environment for all employees. You play a vital part in supporting the HR team and maintaining seamless operations within the department. You handle both HR projects and office management duties, contributing to the overall efficiency of the organization.

What You’ll be Doing

Front Office

  • Answer the phone in a timely manner and direct calls to the correct offices
  • Greet clients as soon as they arrive and connect them with the appropriate party
  • Take and relay messages
  • Control inventory relevant to reception area
  • Tidy and maintain the reception area
  • Maintains security by following procedures; monitoring visitors’ logbook; issuing visitor badges.
  • This position requires you to be onsite in the Duluth office from Monday-Friday.

Administrative

  • Manage day to day office operations for the Duluth, Ga. and Ithaca, NY offices. Manage office budgets and expenses, including tracking expenditures and processing invoices ensuring we are staying within budget guidelines.
  • Address employees’ questions regarding office management issues for Duluth, Ga and Ithaca, NY offices (stationery, facilities questions, etc.) utilizing creative problem solving as needed. Own and manage relationship with facility management vendors, serve as point person for building maintenance issues. Schedule repairs as needed.
  • Partner with Talent Acquisition and HRBPs to ensure a smooth onboarding process for new employees, including but not limited to setting up workstations, coordinating orientation sessions.
  • Oversee Concur travel platform for company personnel.
  • Manage HR programs pertaining to onboarding, recognition, HR SharePoint Content Management, and communications.
  • Coordinate meetings, events and training including scheduling, room setup, catering, order office supplies, office equipment, employee recognition awards and new hire packages. Plan corporate events - in-house or off-site activities, like parties, celebrations, in-house employee birthday celebrations.
  • Provide administrative support to the HR team; assist with special projects.
  • Maintain a safe and secure working environment by implementing various safety measures and protocols.

  • Proven office management, administrative or assistant experience
  • Proficiency in Office365(Outlook, PowerPoint, Excel and Word).
  • Business Acumen to understand how the HR and Office Management functions fit into the organization’s strategic plans.
  • High School degree/Associate degree, additional qualification as an Administrative Assistant desired
  • 2-3 years of relevant experience preferred
