Position Summary:

This position will be part-time and will be responsible for administrative and office management support. It will require the successful incumbent to be on site in our Duluth office for 5 hours per day.

The ideal candidate will be able to work independently with little or no supervision, well organized, dedicated and focused, and able to enjoy the administrative challenges of supporting a small office of diverse people and programs.

They will possess the ability to interact with staff (at all levels), while remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision- making ability and attention to detail are equally important.

Duties include (but are not limited to):

  • Attending to door/visitors, phones, and taking care of need or alert appropriate employee
  • Perform clerical duties such as filing, photocopying, and organizing documents
  • Assist with setting up for meetings or customer events, ordering food or drinks as necessary, and taking down room at the end of the event
  • Track stocks of office supplies and place orders when necessary
  • Track stocks of coffee and breakroom supplies and place orders when necessary
  • Go through received mail and distribute electronically to appropriate employees; maintain temporary files of originals based on distribution for easy access if needed
  • Responsible for making sure office is kept presentable
  • Ensure the breakroom (including coffee/water/ice stations) are presentable and ready to use throughout the day
  • Responsible for loading, running and unloading dishwashers as needed
  • Order name plates as requested by HR for new employees assigned cubicle space in Duluth
  • Serve as backup to Facilities Manager for assigning security fobs and alarm codes to employees as needed and requested by Facilities Manager
  • Provide cross-functional support for local teams on as-needed basis

Position requirements:

  • 3 years’ experience in a similar role.
  • Strong knowledge of MS Office, including Word, Excel, SharePoint, PowerPoint and Outlook; Cliqbook travel and SAP Concur expense applications.
  • Experience scheduling and coordinating domestic and international travel and arrangements for management.
  • Excellent calendar management skills, including for C-level executives
  • Excellent written and verbal communication skills
  • Strong decision-making ability and attention to detail
