Essential Functions: Under the general supervision of the Computer Science Department Chair, the Administrative Support Assistant will provide general office, clerical, and secretarial support for students, faculty, and staff. The incumbent will: maintain files and records; assist undergraduate and graduate students by responding to requests for information and applications for the undergraduate and graduate programs; schedule and arrange appointments; process documents and records; gather data; obtain and keep track of office hours; request book orders, schedule office space, request keys, and prepare standard reports. The incumbent will hold primary responsibility for assisting management of the MSCS program, Integrated BS/MS program, faculty grant programs, and courses/programs for non-CS students; answering student questions and preparing associated paperwork; assisting with progress checks; and maintaining permit lists for restricted courses. In addition, the incumbent will assist the Department Coordinator in the performance of general departmental administrative duties when the Department Coordinator may be involved in peak-load projects and needs assistance. |
Required Qualifications & Experience: Equivalent to two years of general office experience, which included providing work direction or acting as a lead. Incumbent must possess general working knowledge of applicable university infrastructure, policies, and procedures and thorough knowledge of: office methods, procedures, and practices; support technology and systems including Microsoft Office; maintenance of PC based databases; and English grammar, punctuation, and spelling with excellent oral and written communication skills. Ability to: learn, interpret independently, and apply a variety of complex policies and procedures; identify deviations from applicable policies; recognize multicultural value systems and work accordingly; use computer technology to access data, maintain records, generate reports and communicate with others; and interact in a supportive manner with varying levels of staff, students, and members of the general public from diverse backgrounds. Incumbent must be self-motivated and able to work independently. Demonstrated interest and ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.
