Overview Summary: The Administrative Assistant reports directly to the Administrator and is responsible for coordinating office tasks and activities of the SYNERGY HomeCare business. This position includes maintaining positive relationships with caregivers, clients, and office team members. This position entails establishing a positive initial contact for intake and is responsible for making callers feel welcome and assisting with any questions or needs they may have. The Administrative Assistant will be responsible for helping as needed in areas of office organization, intake, scheduling, and cleanliness of the office.
Qualifications:
Customer service skills and phone answering management experience
Proficiency in computer skills (Google Suite, Excel, PowerPoint, etc)
Well-honed time management skills
Exemplary communication skills, both verbal and written
Must be able to pass a background check & Lawfully authorized to work in the U.S.
Must have a valid driver’s license and auto insurance.

ESSENTIAL FUNCTIONS
Operates a multi-line phone system to receive and direct incoming calls. Obtains caller’s name and purpose of call
Direct caller (if triage is established), records name, time of call, and nature of call in online software.May answer basic questions for caregiver applicants or prospective new clients.
Assist with Social Media and Community Marketing
Respond promptly to emergency situations, last-minute scheduling changes, and assist with covering shifts with clients.
Greets visitors and directs them to the appropriate individual in the office
Assists with any filing of employee or clients files as necessary
Email correspondence, reports, and other documents as necessary
Inventories, orders, organizes, and stores all office supplies
Supports Tracking Employees Onboarding statuses, and expired documents
Assist Sales Director in prospecting future clients and or attending community events to promote the company's services.
Other duties as assigned
The physical demands described here must be met by an associate while performing the duties of this job; the associate is frequently required to walk, sit, and talk or hear. The associate is occasionally required to use hands to finger, handle, feel, or operate objects, tools, or controls, and reach with hands and arms. The employee is occasionally required to climb, balance, stoop, kneel, crouch, or crawl. The associate must occasionally lift and/or move up to 100 pounds. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
