Supernal is Hiring a Executive Assistant Near Fremont, CA

Supernal is at the forefront of creating emerging mobility solutions that will foster the development of human-centered cities. We are designing a completely new electric vertical take-off and landing (eVTOL) aircraft tailored to the mobility needs of future cities. This allows passengers a seamless intermodal journey that safely transports them to their final destination. What we do:

The Executive Assistant will be responsible for providing the suite of administrative functions to Supernal’s Deputy CTO (Chief Technology Officer). The role may occasionally support engineering department heads. This is a highly visible role, requiring collaboration with various levels of leadership and the company, maintain high levels of professionalism and confidentiality, have unmatched organizational skills and an ability to succeed in a fast-paced workplace. This role will establish working relationships with high-level executives and contribute to the overall efficiency of the organization.

What you can do:

  • Act as the point of contact between Deputy CTO and both employees and external partners.
  • Manage day to day schedules, calendars, communications, events, and agendas in such a way the Executives can complete their obligations in an organized and efficient way.
  • Organize meetings and events, including scheduling, reminders, creating agendas and meeting materials, taking meeting minutes and organizing in-office requirements (catering, conference rooms, etc.)
  • Ensure Executives are well-informed of priorities, timelines, and challenges in a timely manner
  • Interface and collaborate with the Facilities Site Manager for Fremont Office to align with the smooth functioning of the office space and to build a sense of community within the office and a welcoming environment for visitors (whether they are internal Supernal employees traveling to the site; external visitors; or HMG colleagues that may be in Fremont on business).
  • Coordinate with other Executive Assistants regarding activities and requests for the Fremont office when their teams are in the Fremont
  • Provide additional administrative support, including but not limited to:
  • Domestic and international travel management
  • Receive and direct daily visitors appropriately
  • Answering, screening, and forwarding incoming phone calls
  • Receive and distribute mail
  • Expense management and event registrations
  • Other duties and special projects as assigned

What you can contribute:

  • Bachelor’s degree in Business Administration or a related field
  • Minimum of 2 years’ experience providing administrative support functions to executives (an equivalent combination of education and experience may be considered)
  • Prior experience working with a global company preferred
  • Highly developed written and communication skills, including report writing, presentations, and email correspondence
  • Strong interpersonal skills and the ability to interface and build relationships with a wide variety of internal and external stakeholders
  • Advanced experience in the Microsoft Office Suite, especially Microsoft Word, PowerPoint, Excel, and Outlook
  • Excellent written and verbal communication skills, with proactive delivery and follow-up
  • Excellent organizational skills, with a strong attention to detail
  • Exceptional ability to independently prioritize and accomplish work within time constraints
  • Strong analytical and problem-solving skills
  • Ability to act with integrity, professionalism, and confidentiality
  • Comfortable knowledge of Adobe Acrobat Pro
  • Self-motivated and forward-thinking personality

You may also be able to contribute:

  • Bilingual (English/Korean) with business-level fluency in Korean (written and spoken) a plus
