Reporting to the Director of the Educational Opportunity Program, the Administrative Assistant 1 in the Educational Opportunity Program office is a team member committed to student success. The AA1 manages the office, maintains records and provides critical logistical assistance to the staff during the onboarding, orientation and summer bridge program process per state guidelines. Work with various campus systems daily to track student enrollment and achievement and works with students daily.
The Educational Opportunity Program office is seeking qualified candidates for an Administrative Assistant 1. This is a full-time, Administrative Assistant 1, 12-month, contingent permanent, SG11, CSEA represented position with an entry level salary of $44,957.
KEY RESPONSIBILITIES:
The successful candidate's responsibilities are to establish and implement procedures critical to student success, as it relates to the Educational Opportunity Program; maintain efficient work flow; resolve day to-day operational problems; respond to phone calls; sort paper and electronic mail; organize, expedite and follow up on projects; and coordinate information flow by acting as liaison among current or prospective students, faculty, staff, as well as state partner agencies. In particular this individual will:
Provide excellent customer service to students, faculty, and staff who call, email, or stop by the office looking for assistance;
Supervise work study students, determining appropriate projects and providing instructions or training as necessary;
Process student payroll;
Compose, review, edit, screen, respond, and prioritize correspondence and reports;
Maintain EOP stipend rosters and cover sheets for stipend releases through Financial Aid and retention logs each semester;
Assist in creating, maintaining and updating website pages;
Provide administrative support and assist with the planning, scheduling, and coordination of departmental events;
Track balances of the office's fiscal accounts;
Provide administrative assistance with reporting documents to state agencies;
Reconcile and maintain P-card, Travel and NET card records and track departmental accounts;
Make office purchases via FREDMart;
Provide logistical support in the planning and implementation of the EOP special events and success programs;
Maintain inventory and requisition of office supplies, equipment, furniture, and professional memberships;
Be aware of, understand and follow all university policies.
Job Requirements:
Appointments and promotions in the New York State Civil Service are made according to principles of "merit and fitness" as mandated by the New York State Constitution.
Reassignment Requirement : You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
Reinstatement Requirement : You must be a former state employee to request reinstatement to the title that was held (or transferable title).
Administrative Assistant Trainee 1 Transfer Eligibility Requirement : You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
Administrative Assistant Trainee 2 Transfer Eligibility Requirement : You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
A dministrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
All applicants must meet at least one of the above requirements.

This is a full-time, Administrative Assistant 1/Trainee, 12-month, probationary/permanent, CSEA represented position.
Salary Range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (NS08) through the job rate of an Administrative Assistant 1 (Grade 11).
Administrative Assistant Trainee 1 (NS = Grade 8): $38,073
Administrative Assistant Trainee 2 (NS = Grade 10): $42,493
Administrative Assistant 1 (Grade 11): $44,957
