The Financial Aid Office consistently strives to establish administrative routines that minimize barriers and to furnish students with adequate resources to meet both their direct and indirect college expenses. The office is committed to both a consistent and equitable approach to the awarding of federal, state, institutional and private need-based financial aid sources. All need-based financial aid is awarded based on the Department of Education's Federal Methodology formula, an objective and systematic method of determining the family's ability to meet their educational costs. The Financial Aid Office staff at Fredonia is a hardworking, dedicated group that is committed to providing the very best student service possible.
The Finance Aid Office seeks qualified internal candidates for an Administrative Assistant 1. This is a full-time, Administrative Assistant 1, 12-month, contingent permanent, SG11, CSEA represented position with an entry level salary of $44,957.
KEY RESPONSIBILITIES:
Reporting to the Assistant Director of Financial Aid, the successful candidate will:
Handle incoming telephone calls and questions at the Financial Aid Office counter with emphasis on providing the "best service" possible to our financial aid applicants and their families. This task will require detailed knowledge of the overall financial aid process and programs. You will need to accurately respond to financial aid questions, research background information per call or walk-in to adequately problem solve and/or disseminate questions to the proper counselor(s). Refer questions to the counseling staff via setting up appointments or during scheduled walk-in availability.
Responsible for e-mail correspondence from student financial aid applicants and parents, which also includes delegating more difficult questions to a counselor.
Coordination of all Purchase Orders / Purchase Requisitions. In addition to reconciling the procurement card on a monthly basis.
Adding, deleting and updating the TAP award on RPAAWRD per the request of the Director of Student Accounts. Requests are sent via email.
Upon receipt of emails from Admissions regarding students that withdraw, don't return, or are reinstated; responsible for tracking students via excel spreadsheet and move to an appropriate counselor for processing.
Performs both the inventory and stocking of forms and supplies.
Check to ensure ISIR changes are processed, satisfy requirements, check packaging and forward to appropriate counselors if changes are needed. In addition to logging all documents into Banner upon receiving the documentation.
Coordinate back end WAN.
Assist with SUNY Financial Aid Days by sending out informational emails to participants and tracking the list of registrants.
Abide by the rules and regulations set forth by the Classified Staff Employment Handbook.
Be aware of, understand, and follow all university policies.
Job Requirements:
Appointments and promotions in the New York State Civil Service are made according to principles of "merit and fitness" as mandated by the New York State Constitution.
Reassignment Requirement : You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
Reinstatement Requirement : You must be a former state employee to request reinstatement to the title that was held (or transferable title).
Administrative Assistant Trainee 1 Transfer Eligibility Requirement : You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
Administrative Assistant Trainee 2 Transfer Eligibility Requirement : You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
A dministrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
In addition to being a current Fredonia employee, all applicants must meet at least one of the above requirements.

Salary Range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (NS08) through the job rate of an Administrative Assistant 1 (Grade 11).
Administrative Assistant Trainee 1 (NS = Grade 8): $38,073
Administrative Assistant Trainee 2 (NS = Grade 10): $42,493
