Position Description

As an Administrative Assistant at Stanislaus Oral Surgery, you will play a vital role in supporting the efficient operation of our oral surgery practice. You will provide administrative assistance to our healthcare providers, staff, and patients, ensuring smooth day-to-day operations and exceptional patient care. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced healthcare environment.
Responsibilities:
1. Greet patients and visitors, check them in for appointments, and provide assistance as needed.
2. Answer and direct phone calls in a professional and courteous manner, taking messages and transferring calls as appropriate.
3. Schedule patient appointments, surgeries, and follow-up visits, coordinating with healthcare providers and staff to optimize scheduling efficiency.
4. Assist with patient registration, insurance verification, and processing of patient paperwork.
5. Maintain electronic and paper patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
6. Manage patient inquiries, concerns, and requests, providing information and assistance in a timely and courteous manner.
7. Coordinate with referring dentists, physicians, and healthcare facilities to facilitate patient referrals, consultations, and continuity of care.
8. Prepare treatment rooms and equipment for patient procedures, ensuring cleanliness, sterilization, and proper setup.
9. Assist with billing, invoicing, and processing of insurance claims, coordinating with billing staff and insurance companies as needed.
10. Order and maintain office and medical supplies, ensuring adequate stock levels and timely replenishment.
11. Assist with administrative tasks such as filing, scanning, faxing, and copying documents.
12. Collaborate with healthcare providers, staff, and management to support practice initiatives and projects as assigned.
Qualifications:
- High school diploma or equivalent; additional education or training in healthcare administration or related field is preferred.
- Proven experience as an administrative assistant or in a similar role, preferably in a healthcare setting.
- Knowledge of medical terminology, procedures, and healthcare regulations is desirable.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic medical records (EMR) systems.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with patients and colleagues.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Compassionate and patient-focused demeanor, with a commitment to delivering high-quality patient care.
- Flexibility to adapt to changing priorities and responsibilities in a dynamic healthcare environment.
