Who are we?
St. Joseph Children's Home, located in the St. Matthews area of Louisville, has evolved throughout the years to become a multi-faceted, child caring nonprofit licensed by the Commonwealth of Kentucky with the mission of "Giving Children a Home."
St. Joe's is no longer home to "orphans" but rather, children who have been removed from their homes because they have experienced severe abuse and neglect. St. Joe's has consistently adapted to the needs of the community and now serves children and families across four core programs: Residential Treatment Program, Therapeutic Foster Care and Adoption program, Child Development Center and BHSO services.
St. Joe's serves children in all counties of Kentucky, regardless of nationality, sexual orientation, race, or creed. Since 1849, St. Joe's has provided a safe and loving home to over 75,000 boys and girls. We will not quit until every child has a family!
What do we need?
The Accounts Payable Specialist plays a crucial role in our organization by maintaining payment and relationships with vendors and suppliers. This position provides essential administrative and financial support, ensuring compliance with GAAP policies and procedures for processing and verifying transactions. By keeping the agency on good terms with our valued partners, the Accounts Payable Specialist contributes significantly to our success.
Essential Functions:
  • Maintain and monitor compliance with accounting/purchasing policies and procedures.
  • Filing and distribution of payment requisitions (PR); filing of all A/P, cash receipts and other accounting reports.
  • Obtain approval on all Payment Requests required per the policy and procedures.
  • Enter invoices and payments into the accounting software.
  • Process electronic payments in various portals, including ACHs.
  • Process and post any misc. Withdrawals to the accounting software.
  • Post various transactions and obtain efficient documentation.
  • Facilitate annual payments of auto registrations.
  • Prepare cash position statement daily.
  • Prepare and process all agency payments to vendors and suppliers.
  • Process weekly check runs, including printing and distributing the checks.
  • Completes and assists with finance department special projects.
  • Prepare and mail annual 1099s and 1096.
  • Manage vendors W-9s and COIs.
  • Enter expenses in the Residential Allowance Excel file to track Residential and clothing allowances.
  • Reconciles and performs daily management on Petty Cash for Finance and Residential Activities.
  • Manage and reconcile all Credit Cards and Vendor Accounts.
  • Perform internal audits monthly and quarterly.
  • Assist with giving breaks to the receptionist.
  • Assist with special events, including the Annual Picnic.
  • Crosstrain on various tasks performed by other team members.
  • Responsible for obtaining required staff development/training hours as set forth by St. Joseph Children's Home Policy and Procedures, COA, and the Commonwealth of Kentucky. Must implement and use the tools acquired during education sessions.
  • Assists in annual audit.
  • Other duties as assigned.
Education and Experience:
  • Minimum associate degree in an accounting-related field; bachelor's degree in accounting field is a plus.
  • Minimum of 3 years of experience working in Accounts Payable.
  • Must have proficient knowledge of general accounting procedures, specifically those related to accounts payable.
  • Familiar with accounting software; Sage 100 knowledge is a plus.
  • Experience in Microsoft Office Programs including but not limited to Excel, Word, Outlook, and Forms.
  • Experience in Adobe.
  • Expert proficiency in data entry and time management.
  • Must have excellent organizational skills and superior attention to detail and accuracy.
  • Above average communication and analytical skills.
  • Critical thinking and problem-solving skills.
  • Must be technology savvy.
