Position Summary:

This position is a high level administrative support function supporting the company COO/President, SVP of Operations, VP of Healthcare Operations and VP of Finance in organizing and prioritizing his/her daily and weekly affairs. This role involves managing schedules, coordinating meetings and events, coordinating travel, handling confidential information, and serving as a primary point of contact between the executive and internal/external stakeholders.

Essential Functions:

·Perform daily administrative support.

·Manage the executive's calendar, including scheduling and coordinating appointments, meetings, and travel arrangements.

·Prioritize tasks and manage time efficiently to ensure the executive’s schedule is optimized.

·Prepare, distribute and file all written and electronic correspondence.

·Coordinate complex and extensive travel arrangements, including booking flights, accommodations, and transportation. Prepare travel itineraries and ensure travel-related documents are in order.

·Track and reconcile expenses, prepare expense reports, and ensure timely submission for reimbursement.

·Maintain detailed records on all ongoing projects.

·Prepare a wide variety of reports and documents.

·Prepare and/or proofs presentations and speeches.

·Maintain public relations management with external interest.

·Organize and coordinate meetings, conferences, and events. Prepare agendas, take minutes, and ensure all necessary materials are available.

·Maintain an efficient and thorough work flow tracking system on a daily basis.

·Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence. Draft, review, and edit documents as needed.

·Provide administrative support on special projects which will include collecting and organizing data, running reports, gathering research, etc.

·Manage and organize documents, files, and records. Maintain confidentiality of sensitive information.

·Maintain and update all business and personal contacts.

·Serve as a primary point of contact between the executive and internal/external stakeholders. Build and maintain positive relationships with key contacts.

·Attends work as scheduled and follows required call off policy.

Non-Essential Functions:

·Attends all required training, in-service, and staff meetings.

·Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, and the achievement of safe working practices.

·Maintains a positive and professional demeanor toward co-workers and to the general public.

·Adheres to all policies and procedures of Bedrock Healthcare At Home, LLC

·Performs other duties as assigned.

Qualifications/Skills/Educational Requirements:

·5 years experience supporting C-level executive

·Bachelor’s Degree

·Must have the ability to maintain discretion and confidentiality.

·Demonstrate accuracy and efficiency in performing diverse support duties with minimal supervision.

·Must be able to multi-task high level tasks.

·Excellent organizational skills.

·Comfortable communicating with a diverse group of customers, partners, employees

·Excellent written and verbal communication skills.

·Must possess strong attention to detail.

·Must be flexible with working hours and willing to work early or late when needed.

·Must be comfortable working under pressure in a fast paced environment.

·Strong self starter and problem solver.

·Strong proficiency in Word, PowerPoint, Excel, Outlook.
