POSITION SUMMARY:
Supports CEO and VP of Manufacturing departments in a fast-paced office atmosphere by performing a variety of high level, confidential clerical, administrative and other duties as assigned.
PRINICIPLE DUTIES AND RESPONSIBILITIES:
1. Assists with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence written or by email; arranging complex and detailed travel plans, itineraries and agendas within a set budget.
2. Compiling and preparing documents for review and presentation by Executives, and taking accurate minutes in high importance meetings.
3. Provides general administrative and clerical tasks such as answering phones, faxing, mailing, filing and photocopying. May be required to arrange logistics for visitors, coordinate conference calls, transcribe notes, and type correspondence.
4. Research, compile, and analyze data for special projects as needed or assigned.
5. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
6. Provides a bridge for smooth communication between the all the Executive Team.
7. Performs other job duties as assigned.
JOB QUALIFICATIONS:
1. High School graduate or equivalent required.
2. One to two years related experience in clerical administration or customer service required.
3. Ability to use general office equipment; ie: fax, phones, copiers and scanners.
4. Strong administrative, organizational and prioritization skills with attention to detail and accuracy
5. Intermediate proficiency using Microsoft Office including Word, Excel, PowerPoint and Outlook
6. Demonstrated ability to work efficiently and multi-task in an extremely fast paced environment under conditions of frequent interruptions and changing priorities
7. Excellent communication (verbal and written), customer service, and interpersonal skills necessary to work effectively with others, both internally and externally.
8. Current state driver’s license and proof of insurability.
9. Must be willing to accept out-of-town travel, as required.
HOURS: MONDAY - FRIDAY 8AM-5PM
