Skyport Hospitality is Hiring an Administrative Operations Coordinator Near Denver, CO

First Meridian Services, Inc. is seeking an Administrative Operations Coordinator to provide high-level administrative and project management support to their COO.

PRIMARY RESPONSIBILITIES

  • Performs a variety of administrative and advanced administrative functions to include creating, editing, and preparation of written materials (e.g., letter/memo/email correspondence, meeting minutes, agendas, reports, graphs, spreadsheets, project schedules, lists, status updates, presentations and decks, trackers, training manuals, itineraries, expense reports, etc.), verifying accuracy and clarity of final product.
  • Plans, coordinates, and ensures COO’s schedule is followed and respected. Provides “gateway” role, creating win-win situations for direct access to the COO’s time.
  • Works closely and effectively with the COO to keep her/him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a right sense of the work/projects/deadlines in play and keeping the COO updated.
  • Manages a variety of special projects for the COO, some of which may have organizational impact.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including a variety of correspondence and other tasks that facilitate the COO’s ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Maintains calendars and appointments; coordinates scheduling and logistical arrangement of meetings, events, and calls; tracks assignments and projects; and coordinates/books travel.
  • Schedules and attends meetings on behalf of COO, taking notes, recording minutes, and following up on action items.
  • Provides support for new store openings, special programs/projects, and various training initiatives.
  • Compiles data from various sources, composes analysis, and prepares documents (including templated documents).
  • Strong time management skills, initiative, engagement, hospitality, and steadfast commitment to quality.
  • Ensures collaborative relationships with stakeholders across all levels of the organization and assists in development of workflows to solve problems and increase efficiencies.
  • Ensures proper document use and filing utilizing the company’s electronic storage/retrieval system.
  • Other duties as assigned by the COO.

REQUIRED SKILLS/ABILITIES

  • Proficient in all MS Office programs and strong proficiency with database/project management systems and email management skills/abilities.
  • Exceptional communication skills (oral and written).
  • Ability to compile and analyze a variety of moderately complex information and data from internal and external stakeholders.
  • Ability to follow through timely on projects, juggle conflicting priorities, and maintain confidentiality.
  • Ability to work proactively (independently and collaboratively) to resolve issues in a commonsensical manner and learn new skills quickly.
  • Ability to maintain a positive demeanor in a fast-paced environment, stressful/high pressure situations, and under tight deadlines.
  • Highly organized with strong time management skills and solution oriented.
  • Professional, responsive, flexible, reliable, discrete, and service driven.

EDUCATION AND EXPERIENCE

  • 10-year TSA criminal background check.
  • High school graduate or equivalent with minimum 5 years’ experience in an executive (C-suite) administrative support role.
  • Advanced proficiency in all MS Office (Outlook, Word, Excel, and PowerPoint).
  • Previous experience in project management and/or with database systems highly preferred.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

Position will split time between two locations – Corporate office located in Greenwood Village, Colorado, and Denver International Airport (DIA).

Prolonged periods sitting at desk working on a computer. Regular/repetitive use of hands and fingers to operate computer components (e.g., keyboard, mouse, etc.). Must be able to lift up to 20 pounds, bend, reach, and squat. May need to stand or walk for extended periods.
