Overview:
We are looking for an organized, skilled Bookkeeper/Secretary to work in our office. This position would include maintaining our financial records, including A/P, A/R, H/R, payroll, & daily financial entries & reconciliations. Specific bookkeeping responsibilities would include: paying all bills, processing & depositing all payments, processing weekly payroll and submitting quarterly and year end payroll reports, year-end tax reports, overseeing & handling the company’s insurance (auto, liability, workers comp), bank reconciliations, etc.
Secretary duties - This candidate would also need to have excellent communication skills with both customers and field workers to ensure projects run smoothly. Will be expected to handle other general office duties such as being back up on answering phones, keeping up with email communications, assisting vendors, etc. Applicant must be able to effectively manage customer accounts, such as invoicing and general scope of work proposals to customers. We are looking for a flexible position to be willing to develop skills for permitting, including NOC’s, permit applications, plan submittals, scheduling inspections, etc. Working with Counties on all necessary documents for permits. As well as assisting the Admin Assistant in any other misc. office duties.
This is a full-time position. QuickBooks’s & bookkeeping experience required. Proficiency in MS Office recommended. Recent or current experience in the Construction industry and references of such is a PLUS!
Qualifications:
- High school diploma or equivalent required
- Previous experience in an administrative role is a plus
- Strong computer literacy, including proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills
- Exceptional organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in all work performed
- Ability to work independently as well as part of a team
