Executive Assistant to CEO
 Role:
  • ShoreOne Insurance is seeking an Executive Assistant to support the CEO and other Executives as needed. This role will be a primarily in office position with occasional work from home possibility depending upon Executive’s needs. 
  • Job role will evolve as the company grows and the candidate must be willing to learn new skills while working in a dynamic fast-paced deadline driven environment.
  • This energetic professional is someone who does not mind wearing multiple hats.
  • Must have experience in managing a wide range of administrative support related tasks and able to work independently with little or no supervision.
  • Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse needs.
Primary Responsibilities:
  • Travel Management: Optimize travel arrangements (agenda, accommodations, and transportation,) based on travel needs and preferences. Manages complex itineraries, to include any changes. Tracks and processes related expenses.
  • Meeting Effectiveness: Assist CEO with preparing for meetings, to include preparing materials, obtaining materials in advance (targeting 24-48 hours prior), distributing materials, and keeping him on schedule. Obtain appropriate support for virtual attendees as well as various media needs and other logistics.
  • Email Management: Assist in keeping the executive highly organized, to include reviewing his email correspondences to identify activities and schedules, suggest action items and prioritization. Clean out mailboxes, either deleting, saving in other folders, or archiving of documents as well as supporting the Company’s records and retention schedule.
  • Keep CEO’s contact database up to date.
  • Conduct research for special administrative projects and other activities in support of ShoreOne initiatives, vision and develop reports summarizing data and information for presentations.
  • Proactively identify process improvements and opportunities to enhance support of the CEO.
  • Maintain and update CEO’s LinkedIn presence as needed.
  • Support other Executive team members with meeting support and, participate in special projects and strategic initiatives as needed. Some cross training with VP of Administration will be necessary to provide back-up support, as necessary.
  • Manage facility service coordination with vendors, subcontractors, and be proactive with inventory management – including office supplies, equipment maintenance and repair needs. Coordinate external IT support and office equipment as needed.
  • Office Mail Management: Sort, screen, and distribute incoming mail. 
Qualifications:
  • Minimum 5 years’ experience as an Executive Assistant with the foresight and skill set to anticipate needs. Bachelor’s degree would be beneficial.
  • Minimum 3 years’ experience as an Office Manager required.
  • Proficiency in Microsoft Office Suite.
  • Ability to work a demanding schedule with flexibility to meet the CEO’s admin support needs, which may occasionally require availability before or after regular business hours.
  • Excellent oral and written communication skills.
  • Proven competency with complex calendar management.
  • Strong organizational skills and ability to prioritize with excellent attention to detail.
  • Intuitive and ability to assess and coordinate preparation for internal and external meetings and special events.
  • Ability to think critically and problem solve under own initiative or with direction.
  • Emotional and business maturity and an ability to maintain composure under pressure.
  • Strong professional and ethical standards.
  • Reliable transportation with ability to run errands on the company's behalf.
