Job Description:
We are seeking a highly organized and detail-oriented Project Coordinator to join our dynamic team in the exhibition industry, based in Las Vegas, Nevada. As a Project Coordinator, you will be responsible for supporting the planning, execution, and coordination of various exhibitions, trade shows, and events. You will work closely with our team to ensure the successful delivery of projects, while maintaining excellent customer satisfaction.
Key Responsibilities:
1. Project Planning and Coordination:
· Collaborate with project managers to develop detailed project plans, timelines, and budgets for each exhibition or event.
· Assist in the coordination of resources, vendors, and suppliers to ensure all necessary materials and services are in place for successful execution.
· Track project progress and communicate updates regularly to the team and stakeholders.
2. Customer Relations:
· Serve as a point of contact for clients, exhibitors, and vendors to address inquiries, provide assistance, and maintain strong working relationships.
· Handle customer concerns or issues in a professional and timely manner to ensure high levels of customer satisfaction.
3. On-Site Event Support:
· Coordinate logistics for on-site event setup, ensuring all necessary equipment and materials are in place as per the project plan.
· Provide on-site support during exhibitions and events to ensure smooth operations and troubleshoot any last-minute issues that may arise.
4. Marketing and Promotions:
· Assist in the development and implementation of marketing strategies to promote exhibitions and attract exhibitors and attendees.
· Coordinate with the marketing team to create and distribute promotional materials and update event-related content on the company website and social media platforms.
5. Budget Management:
· Help monitor project budgets, track expenses, and ensure adherence to financial guidelines.
· Assist in negotiating with suppliers and vendors to secure cost-effective services while maintaining quality standards.
6. Documentation and Reporting:
· Maintain accurate records of project-related communications, contracts, and documentation.
· Generate regular reports on project progress, budget status, and post-event evaluations.
Requirements:
1. Bachelor's degree in Event Management, Business Administration, Marketing, or a related field.
2. Proven experience (1-2 years) in event coordination or project management, preferably in the exhibition or trade show industry.
3. Excellent organizational skills with the ability to multitask and prioritize competing deadlines effectively.
4. Strong interpersonal and communication skills to interact with diverse stakeholders.
5. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and project management tools.
6. Knowledge of the exhibition industry and familiarity with Las Vegas venues and facilities is a plus.
7. Flexibility to work irregular hours and travel occasionally for on-site event support.
