Position: Executive Administrative Assistant
The Executive Assistant will primarily provide administrative support to the CEO, and secondarily support the COO/CFO and the rest the Executive Leadership Team (time permitting). This position will serve as the first point of contact and liaison for all internal and external matters, helping to screen, schedule, prioritize and respond to requests as needed.
Essential Duties and Responsibilities include the following:
• Provide confidential and high-level administrative support for the leadership team as needed.
• Applies the utmost discretion given exposure to the most sensitive company information.
• Provides a bridge for smooth communication between the Executive team and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
• Communicates and prioritizes multiple projects simultaneously often with conflicting needs; handles matters expeditiously and proactively, and follows-through on issues and projects to successful completion, often with deadline pressures.
• Answering and screening calls; placing calls as directed (no cold calling).
• Assist with scheduling meetings, as well as attending meetings and maintaining meeting notes if applicable.
• Coordinate calendars for internal and external meetings and calls; input contacts into Outlook.
• Schedule quarterly board meetings for each year
• Arranges travel and meetings for executives and board members: assist in setting and communicating agendas, booking transportation, arranging lodging and meeting accommodations, and coordinating meals either via reservations off-site or on-site meals delivery/pickup.
• Communicating and finalizing tours with manufacturing leadership for outside guests as needed.
• Edits and completes drafts and final presentations, particularly in support of Board meetings, ELT / Partner meetings, investor presentations, management team meetings, and other meetings with suppliers, customers, or prospects; support quarterly board meetings.
• Post board materials online and print/ship hard copies to those members who request it.
• Potentially create investor statements both ad hoc and/or at regular intervals.
• Respond to or route inquiries to appropriate personnel or Department.
• Develop positive relationships with key internal and external constituents.
Knowledge and Skills Required:
• Proficient in Microsoft Suite including Word, Excel, Power Point, Outlook.
• Preferred: experience and ability to create and modify executive level presentations.
• Ability to type accurately using standard business vocabulary and grammar.
• Must demonstrate sound judgment, a high degree of personal integrity and the ability to handle confidential tasks and information.

• Ability to work effectively and collaboratively with all levels of employees and external contacts.
• Demonstrated ability to prioritize own work and multi-task.
Education and Experience Required:
• Associate's Degree in Business Administration or a related field. Bachelor's degree is desirable but not required (experience and quality of work weighted more highly than education).
• 5 years of work experience in an executive administrative capacity
