Job Summary

Position Title:  Executive Assistant
Department: Administration
Supervisory Functions: None
Supervised By: Chief Executive Officer (CEO)

Job Summary:

This person is responsible for overseeing the organizational and administrative support needed by the CEO, Chief Operating Officer, Chief Human Resources Officer and Chief Financial Officer. Responsible for ensuring corporate documents, Articles of Incorporation, By-laws and contracts are accurate and up to date. Coordinates special projects as directed by the CEO, including staff and Board retreats.

Duties and Responsibilities:

  • Uphold the mission, values, policies, and procedures of Roundup Fellowship.
  • Responsible for performing the administrative functions for the Board of Directors (BOD) and CEO including taking minutes for the Strategic Operations Team, Board and Board Committee meetings.
  • Responsible for drafting minutes and communicating information to appropriate parties in a timely fashion.
  • Supports Development Manager with cultivation and stewardship of donors including but not limited to drafting regular correspondence and emails and planning events and meetings.
  • Responsible for coordinating and ensuring implementation of Board functions such as recruitment and orientation of new members, scheduling Board meetings and organizing special events.
  • Acts as liaison between CEO and BOD. Clarifies policies and procedures, serves as consultant on matters of historical importance relating to the BOD.
  • Regularly strategizes with the CEO regarding timing and content of meetings. Helps develop agendas and communicates action plans to appropriate parties as necessary.
  • Responsible for maintaining the confidentiality of all corporate and board information, including legal matters and corporate bylaws.
  • Establishes and develops effective relationships with residents, families, independent contractors, volunteers, Board members, community groups, and trade organizations.
  • As a member of the Strategic Operations Team, leads and/or participates in various committees, task forces and work groups.
  • Manages office logistics.
  • Perform other duties as assigned by supervisors.

Qualifications


Required Knowledge, Skills, and Abilities:

  • Bachelor’s degree in business administration and 5 years’ experience as an Executive Assistant in a nonprofit setting or a High School diploma or equivalent and 10 years’ experience as an Executive Assistant in a nonprofit setting.
  • Proficient in Microsoft Office Suite.
  • Ability to work as a team member.
  • Proven ability to work in a fast paced always changing environment.
  • Detail oriented with a strong attention to detail.
  • Ability to work independently to meet deadlines.
  • Strong communication and interpersonal skills.
  • Strong problem-solving ability.
  • Ability to read, write and communicate in the English language.
  • Valid Colorado Driver’s license and acceptable driving record.
  • Ability to drive company vehicles and personal vehicle.
  • Satisfactory Central Registry and CBI record check.

Physical and Mental Demands:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
