Location: Huntington Park, CA
Position Overview: Romantic Beauty, a leading cosmetic importer, is seeking a dynamic and organized Office Manager to join our team. The Office Manager will play a crucial role in ensuring the smooth operation of our office by handling administrative tasks, overseeing inventory and order processing, managing office upkeep, and assisting with payroll. This individual will work closely with the Director, acting as a liaison to ensure effective communication and coordination across all departments.
Responsibilities:
1. Inventory Management / Order Processing:
- Conduct regular inventory checks to maintain accurate stock levels.
- Manage inventory records and update databases accordingly.
- Ensure accurate order processing including but not limited to delivery scheduling, carton/pallet labeling, routing, cbm & lb calculations, and scheduling pick-ups.
2. Office Administration:
- Oversee general office upkeep and maintenance to ensure a clean and organized workspace.
- Handle incoming and outgoing correspondence, including emails, calls, and mail.
- Maintain office supplies, inventory and place orders as needed.
- Manage payables for utilities and other operating expenses
3. Financial Administration:
- Assist with payroll processing and ensure accurate and timely payments to employees.
- Track office expenses and reconcile financial records regularly.
- Organize financial documents in an orderly fashion
4. Communication and Coordination:
- Facilitate communication between the Director and other team members, ensuring alignment on priorities and deadlines.
- Coordinate meetings, appointments, and travel arrangements as required.
5. Additional Responsibilities:
- Handle special projects and assignments as assigned by the Director.
- Provide administrative support to other departments as needed.
Qualifications:
- Proven experience in office management or administrative roles.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to thrive in a fast-paced environment and effectively prioritize tasks.
- Proficiency in MS Office Suite and other relevant software applications.
- Familiarity with inventory management systems is a plus.
- Fluency in Korean would be an advantage.
- Ability to adapt and learn quickly in a dynamic work environment.
Salary Range: $25 - $35 per hour, commensurate with experience.
