Position Overview:

We are seeking a detail-oriented and reliable Full-Cycle Accounts Payable Clerk to join our team and ensure the smooth and accurate flow of payments to our vendors. You will be responsible for all aspects of the accounts payable process, from receiving invoices to managing disbursements. This is a fast-paced role that plays a critical role in maintaining our company's financial health.

Essential Function:

• Process vendor invoices by verifying accuracy, matching with purchase orders and receiving reports, and ensuring proper coding.
• Reconcile accounts payable ledgers to ensure all bills and payments are accounted for accurately.
• Research and resolve discrepancies in invoice data to ensure timely and accurate payments.
• Facilitate vendor payments, which may include verification of federal ID numbers, reviewing purchase orders, and identifying and capitalizing on discount opportunities.
• Issue purchase order amendments or stop-payment orders as needed.
• Maintain and update vendor information in the accounting system.
• Process and record petty cash disbursements.
• Calculate and report sales tax based on paid invoices.
• Assist with month-end closing procedures.
• Maintain strong internal controls and ensure adherence to company accounting policies.
• Communicate effectively with vendors and internal departments to resolve inquiries and ensure smooth operation.
• Required Skills/Abilities:

Education and Experience:

• Excellent attention to detail and strong organizational skills.
• Proficient in Microsoft Office Suite (Word, Excel) and accounting software.
• Ability to learn and adapt to new procedures and software.
• Strong understanding of basic accounting principles.
• Excellent communication and interpersonal skills.
• Ability to work independently and manage multiple tasks effectively.
• Ability to prioritize deadlines and meet tight turnaround times.
• Strong document processing skills.
• Must be reliable, trustworthy, and maintain confidentiality.
• High school diploma required; Associate's degree in Business or Accounting preferred.
• Minimum of 2 years of experience in Accounts Payable or a related field.
• Certified Accounts Payable Professional (CAPP) certification a plus.
