Administrative and Financial Assistant: This position requires an individual with impeccable standards in communication, data entry, and customer service with the ability to multitask and effectively manage time. We are a growing company who believes in team participation and change. The ideal candidate will have a customer service background with office experience as well as fiscal management knowledge and experience in payroll processing. Qualifications:
Customer service and administrative tasks: 3 years (preferred)
Essential Responsibilities: (other duties as assigned)
Timely and accurately process billing data that reconciles with the general ledger by entering program billable service records into billing software as well as payable software database using correct billing codes, units, and rates; making adjusting entries as needed; and balancing batched information.
Coordinates and manages special projects as may be assigned within accounting and finance.
Provides customer service via telephone using a multi-line phone system, in person, and email correspondence. Assess calls/inquiries and directs and/or records and relays messages promptly, accurately, professionally, and courteously.
Processes purchase orders, pricing, terms of payment and other charges.
Processes daily payment invoices and creates payment list preparing for weekly check run with payables report.
Prepares and mails collection letters for Billing and Collections.
Creates reports and balance that documents overall profit and losses.
Creates and reviews customer financial documentation.
Qualifications; knowledge, skills, and abilities:
Competent in computer software such as databases, word processing, and spreadsheets.
Strong interpersonal and communication skills and the ability to maintain professionalism under pressure.
Ability to organize time effectively and remain flexible to effectively meet competing priorities.
Demonstrates knowledge of basic office machinery and software applications.
Demonstrates excellent organizational skills, accuracy, and attention to detail.
Demonstrates exceptional interpersonal communication skills with the ability to communicate effectively with a variety of individuals in person, on the phone, through email, etc.
Ability to deal with multiple, changing priorities and interruptions in a multi-faceted work environment.
Demonstrate ability to maintain an elevated level of confidentiality with employees, clients, and business information.
Must be clean shaven or maintain neat and evenly trimmed facial hair.
Hairstyle shall be neat and professional.
Must be able to multitask.
Must be flexible in job tasks.
Must dress professionally in business attire. No ripped attire permitted.
Must have reliable transportation.
Must be able to read and write.
Education/Experience: (preferred)
3 years of demonstrated experience in customer service and administrative tasks.
