Nursing Administrative Assistants provide clerical support to our nursing teams. Your efforts will help ensure efficient operations and contribute to the exceptional care provided to patients and residents.

Key Responsibilities:

• Greeting and assisting visitors, residents, and staff in person and over the phone
• Managing incoming and outgoing correspondence and documentation
• Maintaining accurate and up-to-date resident and/or staff records and charts
• Scheduling appointments and arranging meetings
• Scheduling RNs/LPNs and Certified Nursing Assistants
  • Schedule is for a 24-hour per day, 7-days-a-week operation
  • Must remain within budgeted hours each week
  • Must not schedule overtime without prior approval of the Administrator
• Assisting with data entry, filing, and maintaining inventory of office supplies
• Collaborating with the healthcare team to facilitate smooth operations
• May support general nursing, MDS, Case Management or other functional areas

Qualifications of a Nursing Administrative Assistant include:

• High school diploma or equivalent preferred
• Smart Linx experience preferred
• Nursing Scheduling Experience
• Additional certification or coursework in office administration is a plus
• May require experience with Electronic Medical Records (EMR) and in specific functional areas in a long-term care setting
• Compassionate and empathetic nature
• Patience and the ability to relate tactfully with staff, residents, family, etc.
• Interest in the nursing needs of the aged and the chronically ill with the ability to work with both
• Strong organizational skills and ability to complete assignments with minimal supervision
• Excellent written and verbal communications, including proficiency in the English language and grammar
• Proficiency in office software and basic computer skills
• Ability to maintain confidentiality and professionalism in a healthcare setting
• Exceptional attention to detail
• Ability to work effectively in a team environment
