We’re currently growing our team of Artisans with a(n) HR Operations Specialist. This role is responsible for supporting daily HR activities throughout the Artisan lifecycle. Coordinates offers, transfers, onboarding and offboarding; manages the monthly START Orientation program and leads or supports other HR processes. Handles a variety of HR-related administrative duties ensuring proactive communication, and prompt resolution of all inquiries.

Duties & Responsibilities

  1. Prepares and sends employment offers ensuring all necessary approvals. Coordinates offer negotiations and drives progress as needed. Communicates accepted offers to stakeholders (HR Business Partner, Recruiting, hiring leadership, etc.).
  2. Sets up new and existing pre-employment testing services based on type of role and communicates and manages authorization process to new hires.
  3. Initiates onboarding activities in HRIS and ensures all required checklist items are completed prior to new hire’s first day. Escalates obstacles for timely action as needed. 
  4. Ensures Benefits Enrollment information, and information about OneSource, is sent to new hire on their first day.
  5. Manages all event logistics for monthly START Orientation week, such as booking calendar time for presenters and site gatherings, preparing agenda, reserving space, and organizing travel for out-of-town participants, arranging for swag packages, all well in advance. Identifies schedule conflicts, proactively escalates presenter or participant availability challenges, and arranges for technical set-up as needed.
  6. Solicits feedback from START participants after each session, reviews results monthly and communicates quick-fix actions, collects and reports results annually among START presenters for longer-term improvements.
  7. Prepares transfer letters ensuring all necessary approvals are obtained, and processes transfers accordingly.
  8. Processes off-boarding tasks for exiting employees. 
  9. For all repeated processes such as offers, transfers, START activities and off-boarding, follows documented process checklist, and/or proposes and implements improvements. Manages and updates OneSource content relevant to owned processes.
  10. Data entry and Day-to-day HRIS support for projects involving HRIS needs such as establishing new entities, data uploads, new functionality, integration of new feeds, reports, new or updated offerings, self-audits of data integrity.
  11. Maintains employee confidence and protects operations by keeping human resource information confidential.
  12. Assists with day-to-day operations of the HR functions and duties including providing clerical and administrative support.
  13. Ensures all necessary documents are kept in employee e-files or HRIS.

Requirements

Minimum Qualifications

  • High school diploma or equivalent required, BS degree in Human Resources or related field is strongly preferred
  • At least six months of experience working in an HR department
  • Excellent skills with the MS Office suite of products
  • Hands on experience with an HRIS 
  • Excellent organizational skills
  • Strong communications skills
  • Basic knowledge of labor laws

Additional or Preferred Qualifications

  • HR Certification (seeking or completed) is preferred.

Working Conditions / Physical Demands

· While performing the duties of this job, the employee regularly works in an office setting.

· Ability to lift 15-20 pounds will moving office files/boxes.

Travel Requirements

Only as needed to travel to off-site meetings or training.
