Job Summary:

A customer care/dispatcher representative takes incoming customer calls and creates a dispatch ticket for each service call. Your responsibilities in this career also include billing, updating files, keeping organized and updated customer files in a database, territory updates, supplies and ATM monthly statements.


Essential Duties and Responsibilities:

  • Answer all incoming phone calls
  • Dispatch service calls to technicians through E-Automate by entering customer information and equipment issues.
  • Troubleshoot technical issues in E-automate.
  • Enter customer and equipment data into E-automate as needed.
  • Monitor and delegate service communication via email.
  • Communicate with customers and sales directors regarding client invoice and contracts.
  • Greet customers and visitors when they arrive to the office.
  • Assist with packaging and mailing deliveries.
  • Order office supplies as needed
  • All service billing (PM'S & BILLABLES)
  • Separate billing reporting for SECU, FIRST CIT, EDGE ONE & PNFP
  • Equipment add/delete/move
  • Customer creation
  • Territory updates
  • Service history when requested
  • Keep record of complaints
  • Escalate dispatch complaints
  • Monthly atm statements
  • Nautilus equipment registration for newly installed equipment, NHA portal
  • Reports: Uptime, Inventory, Callback, Hot Call, Tech activity and PM
  • Unpaid contracts- run weekly
  • Territory values


Qualification/Competencies/Work Experience Requirements:

  • Effectively communicate with customers and vendors.
  • Ability to use internal phone system
  • Ability to use Microsoft office Suite
  • Ability to analyze and interpret data
  • Ability to offer exceptional customers service to customers and employees
  • Ability to be flexible and adapt to an ever-changing environment.
  • Ability to use UPS shipping module to facilitate shipments.

Preferred Education and Experience

  • High school diploma or GED required
  • Associate degree preferred


Work Conditions/Physical Requirements:

  • All prospective employees must pass a background check.
  • All employees must agree to random drug tests
  • Must be able to lift and carry up to 20 lbs.
  • This position is required to work Monday – Friday. This position is performed in a seated position at a desk for 8 hours.
  • This person must be able to remain in a stationary position 90% of the time.
  • This person will work in indoor conditions.
  • The person in this position needs to occasionally move about inside the office and other various areas.
  • This person must be able to operate a computer and other office equipment, such as a calculator, copy machine and computer printer and UPS shipping computer and scale. This person frequently communicates with other staff members and customers.
