Summary
This position is an integral role as a Smart Arches Dental Front Desk Receptionist/Scheduler for our Jacksonville, Florida location.
Our patients have life-changing procedures with full-arch and full-mouth implants. Exceptional patient experience for every patient is our top priority. An ideal candidate for this administrative position would have at least two years of healthcare (medical or dental) scheduling experience and must LOVE delivering high level of customer service. Experience in a high-volume surgical practice is preferred but not required. Technical skills can be taught- so we look for a person with high moral integrity, dependability, a hard-working mentality, someone who pays attention to detail, and a happy and fun spirit.
Responsibilities:

  • Greet and welcome patients as they come in, complete check-in procedures with a warm inviting demeanor.
  • Answer incoming calls and initiate any action required, complete confirmation calls, pre-op calls, and follow up calls with the lab or facility vendors.
  • Schedule patient appointments and maintain calendars.
  • Manage incoming and outgoing referral letters and appointments.
  • Collect and process five figure payments with confidence, track when monies are due, and send insurance claims daily.
  • Balance deposit and complete end of day reports daily for manager review
  • Maintain accurate records and chart overview for each department daily, alerting manager of any issues and anticipating situations that may arise.
  • Keep the administrative area clean and tidy throughout the day and help resolve any urgent facility needs.
  • Track front desk supplies and place front desk orders.
  • Attend and participate in practice meetings.
  • Undergo training as may be required to develop your skills and abilities.
  • Open and check mail and distribute daily, take deposits to the bank, and check voicemails, faxes, and email throughout the day and communicate important information to the team.
  • Answer multi-line phones, use fax machine and scanner, utilize different software and Practice Management System to adequately notate all interactions.

What does a day in the life of a Dental Receptionist at Smart Arches look like?
  • Wear your running shoes! We are busy changing people’s lives. Our front desk receptionist is typically the first to arrive and will leave at the close of the day to ensure phones are answered during all office hours.
  • Our team goes above and beyond to create excitement for all of our patients. This is done in every touch point from check in to confirmation calls by being positive and encouraging.
  • Monitoring of multiple calendars to ensure that the schedule is up to date, on time, and we have notified team and patients of any changes that may impact the schedule.
  • Managing patient expectations and delivering THE BEST patient care in the industry
  • Handling patient charts, reviewing procedures daily, managing emails and ensuring all touchpoints have been properly documented and communicated appropriately.

The biggest challenge of this role is that there are many moving parts in a full arch dental practice, and you will be the last touch point to ensure that all tasks have been completed and/or that any issues that arise are communicated to office manager in a timely manner. Routine and consistency are vital in this role while also being able to adjust when the need arises. Ensuring our patient has the best experience is our number one priority and this role is an integral part of that outcome. Our team members are as diverse as the patients we serve. Monday-Friday 8-5 (35-40 hours a week)
Hourly wage is based on experience. Bilingual (Spanish) a plus.
