Pittsburgh Public Schools employs over 4,000 individuals in various capacities to support the academic achievement and strength of character of the students we serve.
Under the supervision of the Chief Human Resources Officer, the HR Assistant provides day-to-day support throughout the Human Resources divisions to ensure service delivery is uninterrupted, especially in high peak times. Generally, this position will provide:
40% of workweek to Employee Benefits Division
20% of workweek to Employee Relations Division
20% of workweek to Performance Management Division
20% of workweek to the Chief Human Resources Officer

Qualifications
Candidates must be enthusiastic about the fundamental goal of advancing student achievement in an urban public school district. In addition, we are seeking candidates with:
- High School Diploma or GED required;
-Associate degree in business, human resources, or related field is preferred.
- 2-3 years of relevant administrative support, human resources and/or customer service delivery experience.
- Excellent oral, written, and interpersonal communication skills.
- High attention to detail, organized, and able to work under pressure managing frequent and competing deadlines.
- Proficiency in or ability to learn and navigate a variety of human resources software systems.
- Demonstrated proficiency in Microsoft Outlook, Word Excel, PowerPoint. (Frontline, e-Benefits, and Munis preferred)
- Ability to cultivate relationships with culturally, educationally, and racially diverse internal and external customers.
- Ability to exercise a high degree of confidentiality, professionalism, and diplomacy to accomplish objectives.
- A capacity to solve problems, to stay organized and manage multiple priorities.

Essential Job Functions
1. Conduct day-to-day operations and support the implementation of projects, processes, and workstreams across assigned Human Resource divisions.
2. Create standard language, communications, resources, and procedures to address common questions received from employees and other stakeholders.
3. Provide first-tier responses to internal and external stakeholder inquiries (in-person/phone/email/support tickets) regarding the HR Divisions' workstreams.
4. File, maintain, and conduct retention processes for employee records and various documents.
5. Gather and enter data and information into Human Resources Information Systems and databases.
6. Process, track, and monitor transactions, information, and data related to leave management, ADA request for accommodations, grievances, investigations, employee incidents, certification verifications, clearance reviews, employee performance reviews, DPER evaluations, professional development registrations and course completions, and annual open enrollment activities.
7. Assist with the development of reports by gathering, entering, and tracking various employee related data and other data points.
8. Prepare and complete aggregate reports and forms.
9. Serve as the official note-taker in various employee meetings to develop a record of the discussion.
10. Monitor and update the internal and external facing webpages of the department to ensure accurate information is being provided to stakeholders.
11. Create and update documents and forms.
12. Document various processes within the department and recommend improvements.
13. Organize, maintain, and distribute required employee and vendor notices.
14. Manage, monitor, and organize the communications sent and received from shared HR email accounts and forums.
15. Provide administrative support by copying, scanning, and assembling mailings and documents for distribution.
16. Assist with the usage of office equipment, equipment repair calls and inventory maintenance of office supplies.
17. Participate in departmental, team, and individual planning and goal-setting.
18. Communicate effectively and confidentially at all levels, over the phone, face-to-face, and electronically.
19. Other relevant duties as assigned by supervisor in support of the Department of Human Resources goals and objectives and the District's mission and Superintendent's Priority Goals.
