Phoenix IT Solutions is Hiring an Administrative Assistant Near Peoria, AZ

We are looking for a detail-oriented individual who is efficient and comfortable working within a team as well as individually in a fast-paced environment. The ability to multi-task under stress while remaining professional and calm is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, and has excellent communication, organizational, grammatical, and time-management skills. The ability to prioritize, multitask, and meet tight deadlines is key to success in this position.
Duties include:
  • Professionally answer the phones, and transfer calls to the appropriate manager, compliance specialist, or admin if needed and are unable to assist.
  • Provide support to community managers with the proofreading of board packages and financial packages.
  • Send an email with the completed PDF board packages to the board members for the communities assigned to you.
  • Upload the board and homeowner packages to the portals for the communities assigned to you.
  • Ensure meeting information is included on the community calendar along with a copy of the homeowner agenda.
  • Update homeowner, tenant, and 3rd party contact information for the communities assigned to you.
  • Populate new community information onto the Portal, and Dropbox folders with the correct naming convention.
  • Assist community managers with various daily tasks for the communities assigned to you.
  • Contact vendors with expired insurance monthly and update their profiles in E-Unify.
  • Set up new vendors when needed, and enter their information into E-unify. Be sure to vet the vendor's insurance and licenses, and report deficiencies.
  • Process all architectural applications for the communities assigned to you.
  • Send a weekly email on Thursday to the committees for all architectural applications for the communities assigned to you.
  • Process work orders, and follow up on completion for the communities assigned to you.
  • Provide support to community managers by following up with vendors for quotes for the communities assigned to you.
Physical Demands & Work Environment
The position involves prolonged periods of sitting at a desk and working on a computer. This is a local,remote position. Must have a dedicated work area in the home with a desk, and an area for a printer, phone, two monitor screens, and laptop computer. The home must have Cox Internet.
The position is full-time Monday through Friday. Office Hours: Monday – Thursday 8:30 am – 5:30 pm & Friday 8:30 am – 12:00 pm (Noon).
This is a remote / work-from-home position that requires residency in the Phoenix metropolitan area. In-person meetings are required quarterly or as needed.
