Responsible for providing administrative and business support to two members of the Senior Management Team - Chief Technology Officer. This includes scheduling appointments and executive calendar management, travel engagements, and preparing materials for internal and external meetings, committees, and Board meetings as applicable. The EA will develop an understanding of the Executives' corporate area responsibilities. This position interacts extensively with stakeholders including other internal executives, external executives, peers, and team members and effectively builds and manages interpersonal relationships at all levels of the organizationKey responsibilities will include, but are not limited to:
Provides outstanding and timely administrative support by applying independent judgment and decision-making skills within established guidelines.
Performs a full range of administrative support, including maintaining daily schedules; proactively anticipating needed materials in advance, providing reminders, scheduling appointments, and navigating scheduling conflicts as they arise.
Planning and arranging meeting logistics including catering when needed, invitations, and coordinating the preparation of advance agenda material and presentations for meetings.
Responsible for all travel arrangements.
Responsible for submission and tracking of all expense reports.
Drafting of correspondence, updating/maintaining spreadsheets, or other files as necessary, and creating/modifying/mainlining documents. Conducts research, prepares reports and presentations, handles information requests as needed.
Assumes responsibility for specific corporate area duties and requirements as directed by the Executive and based on the team needs, including but not limited to special projects, facilitating internal communications, training other staff, vendor or program coordination, and policy/procedures maintenance.
Develops administrative processes to ensure the efficient operation of the organization and serves as a resource to provide guidance and development for administrative staff across the organization. Provides backup for other administrative/executive assistants as needed.
Requirements for success:
Bachelor's degree preferred.
4-6 years of experience in administrative support roles required with at least 2 years providing executive-level administrative support preferred.
Extreme attention to detail and resourcefulness.
Mastery of Microsoft Office, including Microsoft Word, Excel and the preparation of PowerPoint presentations for internal and external use, and ability to learn new technology.
Strong project and time management skills
Strong written and oral communication skills with the ability to communicate professionally within all levels of the organization.
Highly proficient in capturing, synthesizing, and disseminating notes taken during meetings.
Ability to prioritize, plan and carry out responsibilities independently with minimal supervision
Ability to apply considerable judgment, tact, and ability to perform duties in a confidential manner.
Ability to problem solve, perform multiple tasks successfully in a fast-paced environment where priorities may evolve quickly
Customer service-oriented approach to responding to members and staff.
Inherent curiosity for learning and finding solutions within the supported corporate areas
Familiarity with and interest in public television system and/or media environment.
Experience working with and troubleshooting various mediums of technology, including Smartphones, tablets, and laptops.
