Job Summary:
We are seeking a proactive and detail-oriented individual to join our laboratory team as an Administrative Assistant. The Administrative Assistant will provide essential support to ensure the smooth operation of the laboratory, assisting with administrative tasks, data management, and communication. The ideal candidate will have strong organizational skills, proficiency in office software, and the ability to work collaboratively in a dynamic environment.
Responsibilities:
Assist in managing laboratory schedules, appointments, and meetings for staff.
Coordinate and maintain laboratory records, including patient data, test results, and inventory logs.
Prepare and distribute reports, presentations, and correspondence as needed.
Coordinate with external vendors and service providers for equipment maintenance and supplies procurement.
Perform data entry and database management tasks to ensure accuracy and completeness of records.
Manage laboratory communications, including answering phone calls, emails, and inquiries.
Assist in organizing and maintaining laboratory files, documents, and regulatory compliance records.
Support laboratory staff in administrative tasks, such as scheduling trainings and orientations.
Collaborate with other administrative and support staff to ensure efficient workflow and communication within the laboratory.
Qualifications:
- High school diploma or equivalent (Associate's degree or certification in office administration is a plus).
- Previous experience in an administrative or office support role, preferably in a laboratory or healthcare setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database management systems.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks, multitask, and work independently or in a team environment.
- Knowledge of medical terminology and laboratory procedures is beneficial.
