The Litigation Administrative Assistant will play an active role assisting in the management of each attorney’s caseload by maintaining attorney calendars, docketing all case-related deadlines, coordinating conference calls, and processing monthly expense reports. You will be responsible for transcribing, revising, and finalizing correspondence, discovery documents, pleadings, motions and other materials as delegated. You will ensure documents are properly filed with appropriate courts, including submission of paper and electronic filings. You will schedule depositions and other client meetings, communicate with clients as necessary. Run conflict checks, open new client/matter engagements, set-up billing requirements for clients and enter attorney time in time entry system. You will maintain and update contacts, assist with billing/client invoices and other clerical assignments as delegated.
You’ll provide a high level of administrative and legal support and assistance to multiple attorneys on a litigation team. This position requires someone who's ready and willing to jump in and take charge as no two days will be the same. You’ll perform tasks such as preparing, revising, and finalizing legal documents including correspondence, pleadings, and discovery. In addition, you’ll assist with billing/client invoices, maintaining attorney calendars, opening new client/matter engagements, and scheduling depositions and client meetings.
The ideal candidate would have 3 years of recent State and Federal litigation experience within a law firm. This position will require exceptional written and verbal communication skills with employees, clients, and attorneys. You must be a self-starter with proactive work habits and can exhibit sound judgment, reliability, accountability, and confidentiality. The ability to work in a fast-paced environment by organizing and prioritizing multiple time sensitive tasks daily will be a crucial requirement of this role.
This position requires a strong proficiency in using Microsoft Suite products with excellent proofreading, transcribing, and comprehension skills. In addition, an understanding of document management systems, document systems, and billing and time entry programs is essential.
