NCCF is Hiring an Administrative Assistant Near Washington, DC
Position Purpose:Responsible for coordinating and providing administrative support to the administrative staff associated with the DC Family Services Division.Essential Duties and Responsibilities:
Answers the telephone and directs callers.
Serves the Administrator’s needs.
Assists in maintaining the Administrator’s calendar, schedules and reschedules appointments as required, and makes travel arrangements as necessary.
Assist in mailroom sorting and distribution of courier/Fed Ex services.
Assist in troubleshooting problems proactively on behalf of the Administrator (i.e. screens calls, reviews purchase order requests, expenses, and documentation brought to the Executive Director for authorization, approval and signature. Proofreads all work and advises Executive Director of any issues.
Types various memoranda, letters, reports and forms ad required.
Receives all program clients and visitors in a professional and pleasant manner.
Sorts, copies, distributes and receives external and inter-agency mail and facsimiles.
Maintains the administrative files in a neat and orderly manner.
Maintains available supply of program literature, recruitment/training materials, client files and various other forms.
Serves as the program contact for Information Technology requests. Completes and sends all program- related work orders, except for new employee starts and terminations, which may only be initiated by the Human Resources Department.
Receives and reads all incoming correspondence and action documents, segregates by subject matter and urgency, dates all materials, obtains pertinent data and facts form key agency personnel, files and records.
Presents finalized materials to the Administrator for signatory approval, release, dissemination and filing.
Compiles necessary documentation, articles, emails, call information, meeting notes, location directions and relevant attachments to prepare Administrator for conferences and meetings.
Assists in meeting preparation by ordering refreshments, gathering needed materials, coordinating space and inviting attendees.

Qualifications:
Minimum of two years of college in a business or relevant field with one year of office experience, or a High School diploma with three years of office experience.
Able to maintain the highest level of diplomacy and confidentiality.
Flexible, organized, dependable, detail oriented, with effective communication skills.
Highly proficient in word processing and computerized data.
Commitment to teamwork, collaboration, and the Agency’s mission to progressively serve vulnerable families and youth.
Must possess an attitude compatible with the goals and purposes of NCCF.
Physical Demands/Work Environment:While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and stoop, kneel, crouch or crawl. Vision abilities required y this job require close vision working with a computer monitor. While performing the duties of this job, employee is occasionally exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate.
